01-26-2004 LBOT MINUTES - APPROVED CITY OF ORANGE LIBRARY SERVICES DEPARTMENT ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES Minutes of Board Meeting held January 26, 2004 Salter Annex Community Room, Taft Branch Library I. CALL TO ORDER 1.1 Pledge of Allegiance The meeting was called to order at 3:05 p.m. Vice Chair Schlund led the Pledge of Allegiance. 1.2 Roll Call Trustees Present: Chair Douglas Westfall, Vice Chair Jonell E. Schlund, Trustee Mark Clemens, Trustee Karen Herrera (arrived at 3:10 p.m.) and Trustee Nancy Collins Staff Present: Library Services Director Nora Jacob, Library Services Manager Yolanda Moreno, Senior Librarian Rosanne Miller, and Administrative Secretary Jan Reichert 1.3 Adoption of Agenda Vice Chair Schlund moved to adopt the agenda as presented. Trustee Clemens seconded the motion, and it carried unanimously. 1.4 Approval of Minutes Vice Chair Schlund moved to approve the minutes of the regular meeting held December 15, 2003, as presented. Trustee Clemens seconded the motion, and it carried unanimously. II. LIBRARY SERVICES DIRECTOR’S REPORT 2.1 Monthly Report for December 2003 Director Jacob reported on a busy month for staff as reflected in the report. Highlights included two significant financial donations received toward MLEP, and continued work on the library’s new online catalog system (SIRSI Unicorn). Director Jacob also reported on staff changes/additions: A key substitute staff member, Robin Manley, has been added to Technology and Technical Services; Library Services Manager Yolanda Moreno will be overseeing Technology and Technical Services in addition to her other duties; and Senior Librarian Rosanne Miller will be overseeing El Modena Branch Library (in addition to Taft Branch Library, Children’s Services, and Adult Services). 2.2 Financial Report for December 2003 Director Jacob reported that Library Services is on target with its budget, and that due to staff vacancies we will be saving significant amounts of money in FY 2003-04. BOARD REPORTS 3.1 Report from Chair Westfall Chair Westfall noted that there is an article in the Orange Plaza Review on Willie McPherson and the photo collection donation to Orange Public Library’s archives. 3.2 Report from Foundation Liaison Vice Chair Schlund reported that the Library Foundation Board has created five working committees: Capital Campaign/Finance, Special Events, Community Outreach/Small Change Club, Nominating, and Governmental Affairs. Each committee is working on its respective objectives, and updates are given at each Board meeting. Some upcoming events and fundraisers include: Edwards House Removal fundraiser in July; Soroptimist Service Award Luncheon in April; Groundbreaking Dinner Dance and Ceremony in January ‘05; and possibly an event at the Marconi Car Museum in 2005. Director Jacob added that Councilmember Mike Alvarez is on the January 27 City Council agenda to make a presentation to both Foundations. Chair Westfall inquired if the library would be displaying a thermometer marking the money raised to date by the Library Foundation for MLEP. Director Jacob reported that one would be displayed once a lead gift has been received toward the $4 million. 3.3 Reports from Trustees Trustee Herrera has volunteered for the “Tile Painting Festivity” on February 21 at the Taft Branch Library. She also added that Director Jacob will be speaking at her MOMS Club at Orange Covenant Church on Wednesday, January 28. Trustee Collins talked about the MOMS Club meeting planned for 8:30 a.m. Saturday, February 7, at the Main Library. The keynote speaker will be Sugee Davis, author of Orange County’s largest Homeschool newsletter. Her topic will be “Early Learning Skills at Home, Using Your Own Orange Public Library.” Flyers have been distributed to all three libraries, local MOMS Clubs, and other civic locations. Trustee Clemens suggested that the Library Foundation might want to send an MLEP package to Alexandra Nichita seeking a donation, as she had given a generous donation to Lutheran High School last year before graduating. IV. OLD BUSINESS 4.1 Update, Main Library Expansion 1) The City Council approved renaming the Main Library. The new name will be “Orange Public Library and History Center.” 2) The proposed agreement to sell the Edwards House goes before City Council for approval on January 26. 3) Abandonment of Center Street is moving forward. The street will continue to be used until the last possible moment. 4) Design Development Phase (60 percent completion) of MLEP is due to Office of Library Construction on January 28. 5) Artist/sculptor Mel Slavick has volunteered to design the donor tree. CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES Minutes of Board Meeting Held January 26, 2004 Page 3 4.2 Update, William “Willie” McPherson Photo Collection The Library received approximately 1,200 photos and negatives thanks to this donation from the San Juan Capistrano Historical Society, Chair Westfall reported. Information on the McPherson photo collection and what the library has received will continue to be reported to the media. Director Jacob added that one of her Rotarian members has offered to make contact prints of the negatives. Local History and Adult Services Librarian Rosemarie Williams is working to get the entire McPherson collection in order. 4.3 Update, SIRSI Implementation [new online catalog] Library Services Manager Yolanda Moreno reported on key dates in the implementation schedule: • Feb. 10-11, pre-installation visit by Project Manager/Policy Specialist, with six library Team Leaders to review and refine policies created during this visit; • April 19-30, load and index data for test migration; • May 24-28, onsite training on the test server – no staff vacations allowed; • May 31-July 9, data review by OPL; • July 12-16, three-day specialized hands-on training by SIRSI and OPL; • July 18, OPL ceases using Inlex system Cataloging module; • August 1, OPL ceases using Inlex system for Circulation; • August 4 or 5, we “go live!” with Sirsi Unicorn. Ms. Moreno added that Library Automation Coordinator Angela Scherer has created a website for staff to visit to receive updates on the SIRSI migration. Additionally, staff is invited to participate in three budget-related contests for gift certificates to The Village at Orange. V. NEW BUSINESS 5.1 Patron Suggestion on Internet Workstations The library received a suggestion from a frequent library patron re: Internet users not being allowed to access the A: drive on our public-use computers. Director Jacob responded with a letter informing the patron that A: drive access for library patrons is in the planning stages with our technology support staff, and should be available by the end of March 2004. VI.
