Chapman Avenue, Orange, CA 92866 I. CALL TO ORDER (3:05 p.m.) 1.1 Pledge of Allegiance Chair Collins led the Pledge of Allegiance. 1.2 Roll Call Trustees Present: Chair Nancy Collins, Vice Chair Jonell Schlund, Trustee Marianne Hugo, and Trustee Steven Freeman Trustee Absent: Trustee Patricia VanVoorst Staff Present: Library Services Director Yolanda Moreno, Senior Library Managers Rosanne Miller & Kitty Crary, and Executive Assistant Jan Reichert 1.3 Adoption of Agenda Vice Chair Schlund moved to adopt the agenda as presented; Trustee Hugo seconded the motion, and it carried unanimously. 1.4 Approval of Minutes Vice Chair Schlund moved to approve the minutes of the May 17, 2010 meeting as presented; Trustee Hugo seconded the motion and it carried unanimously. II. LIBRARY DIRECTOR’S REPORT 2.1 Monthly Report for May 2010 Library Director Moreno gave a verbal report: • Introduced staff to new Trustee Steven Freeman: Executive Assistant Jan Reichert; Senior Library Manager for Adult/YA/Local History Services Kitty Crary and Senior Library Manager for Children’s/Branch Services Rosanne Miller CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES June 21, 2010 Page 2 • The City will be taking a 5 percent furlough effective July 5th. The City is currently closed every other Friday and as part of the 5 percent furlough the City will close an additional 13 Fridays in FY 10-11. The Main Library will close every other Friday and the 1st Friday closure will be July 9th. • Negotiations are still going on with Fire and Police so the budget cannot be adopted until they have been resolved. The budget is now scheduled to be adopted at the July 27 City Council meeting. • The Shades of El Modena dedication of the collection was Wednesday, May 26 at the El Modena Branch Library. It was a well-attended program with over 100 in attendance. At this event, the Orange Public Library Foundation (OPLF) presented a check for $3,000 to Local History. This money will be used to purchase yearbooks for the Local History collection. • The Friends of the Library has committed to give the library $7,500 for digitization. Last year the Friends of the Library gave over $46,000 to the library for books. Library staff submitted a Wish List to the Friends which totaled about $19,000. In addition to the $7,500, the Friends will give the library $19,000 for everything on the Wish List. Most of the $19,000 will be spent on books with the exception of two items: a giant spin wheel (for special events), and software for one of our computers for the visibly impaired. • As mentioned at last month’s meeting, the OPLF presented a check to the library for $92,900 at the June 8th City Council meeting. The breakdown is - $9,400 for children’s books; $6,000 for teens’ and children’s programs; and $77,500 for library materials, programs, technology and facilities in the years’ ahead. Additionally, a check for $50,000 was presented to the City toward the Capital Campaign. • Ronelle Ingram, 19-hr Library Assistant at El Modena Branch Library, has been working with Library Director Moreno on the library public copier leases, which expired in April. Through her diligent research she determined that the public copiers have been little used and it would be more cost- effective for the library to purchase them. Library Director Moreno and Library Assistant Ingram met with a representative from Konica Minolta to discuss the buyout plan. A deal was negotiated to purchase all three copiers before June 30 for $3,500 instead of $4,000 if the library waited to purchase by July. Purchasing the copiers as opposed to leasing will save the library $20,000 to $25,000 over 3 years. Library Director Moreno gave kudos to Library Assistant Ingram for her efforts on negotiating this excellent deal for the library. • The library has four employees who received their Master of Library and Information Science (MLIS) degree: Library Page Jennifer Cox, Library Technology Assistants Jack Tsuruda and Scott Enke, and Children’s Services Library Assistant Monica Barrette. The library had a celebration for these employees in the staff lounge on Thursday, June 17. CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES June 21, 2010 Page 3 Senior Library Manager Miller/Children’s & Branch Services gave a verbal report: • Summer Reading Club (SRC) kick off was Saturday, June 19. The theme is “Make a Splash – READ!” This is the biggest Children’s program which runs through August 14. There are lots of fun activities planned for SRC such as Storytimes, Manic Mondays!, Family Game Night, Family Film Fest, sing-along’s, magic shows, puppet and musical shows, and much more. At the kickoff SRC program on Saturday, June 19 there was a River Otter Circus Puppet Show and Fiesta in Mexico!, a celebration of Mexican culture and dance, and the Friends of the Library had a Children’s Used Book Sale (collected about $400). There were over 600 people throughout the day enjoying all the activities. • Children’s Services staff has done a remarkable job decorating the children’s area in celebration of SRC. They solicited local vendors for prizes for SRC and received lots of donations. • The City Public Works Department received a state recycling grant and through this grant Sr. Admin Analyst and Recycling Coordinator Greg Warren purchased some great items for the SRC – water bottles, squeeze balls with “Make a Splash – READ! on each one, lanyards and rubber ducks. All these items are used as prizes for the kids who participate in SRC. Senior Library Manager Crary/ YA/Local History & Adult Services gave a verbal report: • The YA SRC program kickoff on Saturday, June 19 included a water balloon toss. To date there are 85 sign ups. • YA Librarian Ryan Gan assists with the Manic Mondays! by giving tours of the library to the teens. • Teen programs for the SRC include A Great Smoothie Contest, Artist Trading Cards, and much more. • The YA SRC has also solicited local vendors and received donations of gift cards to give as prizes to the teens. • Monday Mysteries @ the Library continues with Adult Services Librarian John Ferry. • The Teen Book Clubs held every Thursday in May were very popular. • Local History Librarian Lizeth Ramirez is working on the library digitization project. There are two collections in Local History that receive a lot of use and deserve a better way to access them – newspapers and city directories. She will continue to work on this project until it is done. • Local History Librarian Ramirez has applied for a $50,000 Library Services and Technology Act (LSTA) Grant to turn to digitization the early newspapers. When this is completed it will be of great help for researchers. • The State Library received federal government money that needed to be spent by June 30 or the money went back to the federal government. The Southern California Library Cooperative (SCLC) received $100,000 as it portion of the state library funds. SCLC libraries decided to use the money to subscribe to Gale product, “Career Transitions” database. Features include everything from resume building to explore and investigate thousands of career paths, and CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES June 21, 2010 Page 4 much more. This database is on our webpage, catalog link. Two library employees will attend the in-house training on July 7 at the Orange County Public Library headquarters. As soon as they receive the in-house training on “Career Transitions,” Library Assistant Ingram and Adult Reference Librarian Steve Chaput will offer one-on-one training to library patrons starting in the fall. Publicity for this upcoming training will be out soon. The “Career Transitions” database is available for 18 months. 2.2 Financial Report for May 2010 The library is under spent because the library is only purchasing what is absolutely needed and not what we would like to have. Each section is monitoring its budget closely and doing an outstanding job to stay on target. III. BOARD REPORTS 3.1 Report from Chair Chair Collins acknowledged library staff for the amazing job they do with keeping the spending under control. She added that she is very pleased with the stewardship that the library has. She appreciates that the library watches what they spend money on, and is fiscally responsible. 3.2 Report from Orange Public Library Foundation Liaison (OPLF) The Board of Directors slate of officers for 2010-11 are: President – Kim Nichols, Vice President – Tom Searles, Treasurer – Jonell Schlund, and Secretary – Priscilla Selman. OPLF Liaison Jonell Schlund reported that Board Member Brenda Carver has resigned from the Library Foundation to pursue other interests that involve her church, and helping at school activities for her children. Board Member Skip Raymond also resigned from the Library Foundation. Ms. Schlund did add that there are two new Board Members to be appointed at the next meeting. The next OPLF Meeting is Monday, July 19, 5:30 p.m. so she will not have a Foundation report at the July Library Board of Trustees meeting, which is July 19, 3 p.m. She will give a combined OPLF report at the August Library Board of Trustees meeting. The Foundation is still actively pursuing the sale of the double-wide, 2-bedroom, mobile home in Huntington Beach. There has been active interest in the mobile home but no buyers as of yet. The price has been reduced to $35,000. The Foundation is sponsoring the Family Film Festival that will be the 1st Thursday of the month, June 24-August 12, 3-4:30 p.m. in the Main Library community room. They will sell candy, popcorn and water. The films were purchased by the Foundation and will be given to the library to add to its collections. The Foundation will again be selling parking spaces at four public parking lots during the International Street Faire. This is a very profitable fundraiser for the Foundation. 3.3 Reports from Trustees CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES June 21, 2010 Page 5 Trustee Hugo commended that she had to drive around the parking lot several times before finding a parking space. When she entered the library and saw all the adults and kids this explained why she had trouble finding a parking spot. She gave kudos to the staff for the impressive number of attendance at the library programs. She said the children’s area was booming and all the kids were having a good time. IV. OLD BUSINESS 4.1 Community Survey Senior Library Manager Crary passed around a sample Survey Monkey (online survey) from Birmingham Public Library. She also came across a very thorough “Guidelines for Designing a Library Survey” from Montana State Library. She added that they raise some interesting issues and these are some things you need to think about when creating a survey: 1. What information do you want to gather? 2. Who do you want to hear from? 3. What will you do with the information you get from the survey? 4. How do you want to design the survey? 5. How will you distribute the survey? 6. Will you create a survey or adapt an existing one? She asked Trustees to think about the kinds of questions and information they would like Adult Services to include on the survey. The online survey will include five questions and not be longer than one page. Library Director Moreno reminded Trustees that at the April meeting when the community survey was first discussed Trustees wanted a survey that would find out the kinds of programs the community would like to see at the library. The objective will be to tailor some of the library programs to what the community would like to have and not necessarily what we think they should have. Chair Collins asked if the survey will be offered in Spanish. Senior Library Manager Crary added that there will be a question on the survey asking the patron if he or she wishes to take the survey in Spanish. Paper copies of the survey will be available at library facilities. Chair Collins reiterated that Trustees homework is to come up with five questions for the survey and email them to Senior Library Manager Crary (kcrary@cityoforange.org) or bring to the July meeting. She added that it might be useful to go online and check the types of surveys conducted by other libraries. 4.2 July 3rd Event Library Director Moreno met with Chair Collins and Kathleen Ford, Friends of the Orange Public Library to discuss the library booth. Each group participating in this event will be provided with a 10’ x 10’ booth space. Participating groups must provide their own equipment such as tables, chairs, canopies and other items as needed. Chair Collins passed around a signup sheet for all the things needed for the booth. All Trustees signed up for a shift – either 3-5:15 p.m. or 5:15-7:30 p.m. – and what they can bring. Trustees’ Hugo and Freeman will setup the booth and arrive at CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES June 21, 2010 Page 6 Fred Kelly Stadium at 2 p.m., but first will meet at the Main Library at 1:30 p.m. to pick up most of the items needed for booth setup. The Friends of the Library will have two volunteers and will be giving out Free Book coupons and their membership brochure. OPLF will not participate but they will provide flyers about the upcoming Family Film Fest. There will be a giant wheel that participants will spin to win a prize (Trustee Hugo added that she has prizes for the give-a-ways), free coupon book or candy. Chair Collins asked Trustees to bring two bags of candy each as part of the give-a-ways. The booth will also have flyers about upcoming programs at the library, on-going volunteer opportunities, and how to get a library card. Chair Collins thanked Trustees for volunteering. She will give the signup sheet to Executive Assistant Reichert who will send reminder emails to Trustees next week on what they are responsible for. V. NEW BUSINESS 5.1 Welcome of new Library Board of Trustee Library Director Moreno welcomed newest Trustee, Steven Freeman, and asked him to tell us about himself and why he wanted to be a Library Board of Trustee. Mr. Freeman talked about moving to Orange in 1972 and spending quite a lot of time at the Taft Branch Library. He volunteered with the Summer Reading Program at Taft in the 1970’s and was a Library Page in 1980 when he was a senior at Villa Park High School. He added that he has seen the growth of the library over the years while living in Orange and spending time at Taft Branch Library. Because he lives in Orange and has a business in Orange he wanted to get involved in a local organization and give his time to a worthy cause. He is excited about seeing what the Board can do to propel the library beyond the old idea of the collection of books. The library is more than just about books and is a great source of information for the community. He is pleased with all the growth happening at our libraries, about learning new things, and with helping to get the community involved. Library Director Moreno added that she will be meeting with all the library support groups in July – Chair Collins, Library Board of Trustees; Kim Nichols, President OPLF; and Kathleen Ford, President Friends of the Orange Public Library – to make sure that all the support groups are moving forward in the same direction and working in support of the library. After this meeting, Chair Collins will bring forth the information and how it can and will involve the Trustees. Chair Collins added that the goal is to hold these meetings quarterly. VI.
