CALL TO ORDER (3:10 p.m.) 1.1 Pledge of Allegiance Vice Chair Schlund led the Pledge of Allegiance. 1.2 Roll Call Trustees Present: Trustee Nancy Collins, Vice Chair Jonell Schlund, Trustee Marianne Hugo and Trustee Patricia VanVoorst Staff Present: Library Services Director Yolanda Moreno, and Senior Library Manager Rosanne Miller 1.3 Adoption of Agenda Trustee Collins moved to approve the agenda as presented; Trustee VanVoorst seconded the motion, and it carried unanimously. 1.4 Approval of Minutes Trustee VanVoorst moved to approve the minutes of the January 25, 2010 meeting as presented; Trustee Hugo seconded the motion, and it carried unanimously. II. LIBRARY DIRECTOR’S REPORT 2.1 Monthly Report for February 2010 Library Director Moreno gave a verbal report: • Longtime Orange Public Library Foundation and Orange Public Library supporter Mel Slavick passed away on Tuesday, February 16. He won numerous awards and contributed countless hours and in-kind donations to the Foundation and other non-profit organizations. He will be remembered for his generosity and cheerful spirit. In lieu of flowers, donations in Mel’s memory can be made to the Orange Public Library Foundation for purchase CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES February 22, 2010 Page 2 of library materials. The Orange City Council will adjourn in Mel's memory on Tuesday, March 9, 2010. • At the March 9th City Council meeting former Chair Douglas Westfall will be presented with a Resolution for his 13 years of dedicated service to the Library Board of Trustees. All Trustees have been encouraged to attend this meeting. • The Orange County Register took photos at two of our Children’s Services events: the El Modena Branch Library Music Adventures @ the Library on Monday, February 8 and the Main Library Family Game Nights @ the Library on Wednesday, February 17. • The Library has three volunteers for the Welcome Desk at the Main Library from the Disney’s “Give a Day. Get a Disney Ticket” program– one has started training and two are in the City’s background process. Each volunteer has to complete 30 hours in order to get the free park ticket. This program will end when the number of volunteers has reached 1M. As of February the number is 600,000 so Disney expects to reach the 1M mark by early March. All volunteers that are registered before the program ends will be entitled to receive a park ticket. • Trustee Collins held two cooking classes at the Main Library – 1st class was for preschool children and they made veggie pizzas on bagels - 21 in attendance; 2nd class was for school age children and they made apple berry salsa and truffles - 24 in attendance. Trustee Collins will hold quarterly cooking classes at the library. • There will be a special budget session on Tuesday, February 23, 3 p.m., prior to the City Council meeting where staff will present budget saving ideas to the City Council. 2.2 Financial Report for January 2010 The library is on target because the library is only purchasing what is absolutely needed and not what we would like to have. Each section is monitoring its budget closely to stay on target. III. BOARD REPORTS 3.1 Report from Orange Public Library Foundation (OPLF) (Library Director Moreno reported for Ms. Schlund) Library Director Moreno reported that at the last meeting the Foundation was in agreement to give all proceeds from the April 24 Legacy Gala opportunity baskets to the library for children’s and teens’ books and programs. They voted to give a minimum of $6,000, but hope to raise more for the library. It was also reported that most of the Legacy Gala is underwritten so all monies raised will be profit. The OPLF will again host a “Family Film Series” which this year will be part of the library’s weekly Summer Reading Program. The Film Series will run from June 24 through August 12, 2-6 p.m. OPLF will give another $50,000 check to the City this spring as payment toward its capital campaign commitment. Director Moreno and CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES February 22, 2010 Page 3 Senior Library Manager Miller will meet next week with OPLF’s Children’s Garden Task Force to discuss plans for the children’s garden. 3.2 Report from Trustees Trustee Collins has been very impressed with the Teen Volunteers and how they have stepped up to the plate and put together various programs for the library. With the budget cuts and staff shortages, she thinks this is a good time to take a look at volunteer opportunities at our library that would not take a lot of staff intervention but would be helpful and allow the library to continue with its basic programs. Volunteers could be recruited to put together some of the basic programs or assist with special library programs. Board Members and staff were in agreement that this is something to move forward with in the near future. Trustee Collins will be working with Library Director Moreno to put together a survey for the local community. The survey would ask “What Type of Programs Interest You,” and “What Type of Programs would you Like the Library to Have,” to name a few. The survey would be available to take online or it would be available in hard copy at each of the libraries. Library Director added that we do not want to give the public the expectation that the library would be able to have all these programs because we do not have the money. But she said it would be nice to find out what type of programs the community would like the library to have because one of the library mission goals is to serve the community. Based on the results of the survey, staff would take the top two or three programs that the community would most like to see at the library. Trustee VanVoorst asked if the survey could also include asking for volunteers who can contribute his or her time to the library to help with programs and events, and volunteers who would be interested in teaching a free class on a subject of his or her expertise. The Board was unanimous in the contents of the survey and moving forward with putting one together. Library Director Moreno will ask Senior Library Manager Kitty Crary and Adult Services staff to organize the survey. At a previous meeting, Library Director Moreno and Trustee Collins talked about meeting with the president’s of the library support groups – Library Board of Trustees, Friends of the Library and Orange Public Library Foundation – to talk about working together in support of the library, its programs and special events, and offering support to each other as needed. Trustee Hugo said there is a link to the library website on the Orange Unified School District website. She added that her son’s teacher at Chapman Hills Elementary was showing the kids how to get to the library website and asked how many kids visited the library. She thinks this is a win-win situation for the library and a great connection that the school has to Orange Public Library. Trustee VanVoorst is working with the Orange Public Library Foundation on its upcoming Legacy Gala. She is asking for names of people who would be interested in attending this event. Names can be given to Library Director Moreno who then will email them to Trustee VanVoorst. She added that she and Orange Public Library Foundation Executive Director Nora Jacob will meet with Former Mayor Joanne Coontz to talk about and come up with a list of Coontz’s library supporters CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES February 22, 2010 Page 4 who might wish to attend the Legacy Gala or sponsor a table. Trustee VanVoorst mentioned that local community volunteer Shannon Tucker has given very informative presentations on Historical Preservation and might be someone to consider for giving a free program at the library. IV. OLD BUSINESS None. V. NEW BUSINESS 5.1 Resignation of Chair Doug Westfall; appointment of new Chair Vice Chair Schlund acknowledged that the Board had accepted the resignation of Chair Doug Westfall, and the Board will need to appoint a new chair. Trustee VanVoorst made a motion to appoint Trustee Collins as Chair of the Library Board of Trustees; Trustee Hugo seconded the motion and it carried unanimously. Board Members offered their congratulations to Chair Collins. Refreshments were served and members of the Workflow Team were present to congratulate Chair Collins on her appointment. For the benefit of the two new Trustees – Patricia VanVoorst and Marianne Hugo - Technology and Technical Support Supervisor Angela Scherer introduced herself and gave a brief outline of her duties. Library Director Moreno mentioned that we still have one vacancy on the Library Board of Trustees. She added that if you know of any people with a strong interest in the library, please encourage them to apply. City of Orange applications are available at the City Clerk’s office. VI. Library Director Moreno said she would talk with Executive Assistant Jan Reichert to find out if this would be possible. Chair Collins added that if Board packets are emailed Board Members would need to make certain to check their emails on a regular basis, and it would be the responsibility of each Board Member to print the documents for the meeting. VII. PUBLIC COMMENT None VIII. ADJOURNMENT Vice Chair Schlund moved, and Trustee VanVoorst seconded the motion to adjourn the meeting at 4:10 p.m. The motion carried unanimously. The next meeting will be held on Monday, April 19, 3 p.m. in the Salter Annex Room, Taft Branch Library, 740 E.
