Chapman Avenue, Orange CA 92866 I. CALL TO ORDER (3:05 p.m.) 1.1 Pledge of Allegiance Chair Collins led the Pledge of Allegiance. 1.2 Roll Call Trustees Present: Chair Nancy Collins, Vice Chair Jonell Schlund, Trustee Steven Freeman, Trustee Marianne Hugo and Trustee Patricia VanVoorst Staff Present: Library Services Director Yolanda Moreno, Acting Assistant Library Services Director Rosanne Miller, and Executive Assistant Jan Reichert 1.3 Adoption of Agenda Vice Chair Schlund moved to adopt the agenda as presented; Trustee Freeman seconded the motion, and it carried unanimously. 1.4 Approval of Minutes Trustee Hugo moved to approve the minutes of the May 16, 2011 meeting as presented; Trustee VanVoorst seconded the motion and it carried unanimously. 1.5 Wowbrary Demo – Librarian David Price Librarian David Price gave a demo to Trustees on Wowbrary, specifically how to get to the link on the library website and pointing out specific features. Wowbrary is the library’s free e-newsletter that features all new and donated books, music and movies that arrive at the library each week. He pointed out that Wowbrary includes reviews of books & materials that are on order allowing you to place a free hold on your favorites. If you click on the “borrow” button next to the title of the book it will take you to the library catalog and let you know if this book has been purchased, how many copies the library has, and if the book is on hold how long before it will be available. If you shop at Amazon.com a portion of your purchased amount comes back to the library at no additional cost to you. In Wowbrary, click on the link in the upper right hand corner to start shopping. CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES June 20, 2011 Page 2 Ms. Moreno added that this wonderful new service was made possible by the generous support of the Friends of the Orange Public Library (FOPL). If the library continues with the Wowbrary subscription the portion on the amount that comes back to the library will be applied to the subscription cost. If for any reason the subscription is cancelled, Wowbrary will send a check for that amount. II. LIBRARY DIRECTOR’S REPORT 2.1 Monthly Report for June 2011 Ms. Moreno gave a verbal report: • Effective July 1, the Orange Public Library & History Center will be closed every Friday. She added that the reason for the closure is for staff benefit (we are down 13 positions) and furlough and scheduling purposes (one schedule as opposed to three). • A Councilmember has recommended renaming the Taft Branch Library to the Joanne Coontz Library (former mayor of City of Orange). At the last City Council meeting it was decided to form a committee of three to look at a policy for renaming a city facility. • At the June 14 City Council meeting Chair Nancy Collins and Trustee Patty VanVoorst were reappointed to the Library Board of Trustees. • The Summer Reading Club began today, Monday, June 20. • The missing heron bird has been replaced on the fountain, which was donated by Mike Vogelvang. The library is looking into repainting the other birds on the fountain as they have rusted over the years because they are not aluminum. • The Wall That Heals, the Official Vietnam Veteran's Traveling Memorial Wall, came to the City of Orange on Thursday, June 16. More than 500 volunteer motorcyclists arrived in Orange around noon, traveled through historic Old Towne Orange, and continued on to Yorba Park at the corner of Yorba Street and Chapman Avenue. The Wall That Heals reamined at Yorba Park through Sunday, June 19. Community Services Director Marie Knight contacted Ms. Moreno to let her know that the organizer of the event said that mementos left by loved ones at The Wall That Heals will remain with the host site, in this case the City of Orange. She thought the library would be a good place to setup a display with these mementos. She and Ms. Moreno looked at several areas of the library and the most likely place to setup a display would be in the Tower Reading Room on the 2nd floor. Ms. Knight is going to bring the organizer of the event to the library to look at the suggested space. • Liaisons have been appointed for the following support groups: FOPL (Lending Services Manager Linda Cundiff), Library Board of Trustees and Orange Public Library Foundation (Ms. Moreno). The support groups will direct all questions, help needed, and issues to their respective liaison so that only one person is being contacted. The liaison for that group will then determine which library manager or staff person will handle the situation. • The library will be offering Free Social Media Training Workshops for Business presented by Elite Social Management. Ms. Miller made contact with Jennifer CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES June 20, 2011 Page 3 Anastasi of Elite Social Management about hosting workshops at the library. There will be three classes offered as follows: ¾ Intro to Twitter for Business, Tuesday, July 12, 9-11 a.m. ¾ Intro to Facebook for Business, Tuesday, August 16, 9-11 a.m. ¾ Intro to LinkedIn for Business, Tuesday, September 20, 9-11 a.m. Registration is required as space is limited to 30 people for each course. To register, all 714.288.2410 during library open hours. Ms. Moreno added that the library will put together a package to present to the City Manager in favor of allowing the library to use social media networks. 2.2 Financial Report for May 2011 Received and filed. Overall the library is under budget and staff only purchases what is needed. III. BOARD REPORTS 3.1 Report from Chair Chair Collins made contact with the Orange Farmers Market organizers regarding library participation. She will give detailed report under Old Business. 3.2 Report from Orange Public Library Foundation Liaison (OPLF) Ms. Schlund reported that 20+ invitations have been mailed to potential new board members. She will have a report on new members at the August Trustee meeting. The existing Executive Board has agreed to serve another term – Kim Nichols, President; Tom Searles, Vice President; Jonell Schlund, Treasurer; Priscilla Selman, Recording Secretary. She said the board is planning several upcoming fundraising events: ¾ Travelling Palate Dinning Series, Sunday, September 18, 2:30 p.m., $75/pp ¾ Free Fuzz Budz Children’s Book Party (featuring the artist/author Larissa Marantz), Saturday, December 3, 2 p.m., Orange Public Library & History Center, Community Room The next Board Meeting is July 25. 3.3 Reports from Trustees Trustee VanVoorst reported that the “Ready, Set, Read” event at Orange Children’s & Parents Together facility adjacent to the El Modena Branch Library was a big hit with the kids and families. There were fun activities and crafts for the kids and 482 backpacks were given away. 3.4 Report from Friends of the Orange Public Library Liaison Trustee Freeman reported on the meeting held Monday, June 13. On Saturday, June 11, the Friends held their 2nd Saturday of the Month Book Sale at the Orange Public Library & History Center, outside the Community Room. New items will be featured each CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES June 20, 2011 Page 4 month at the Book Sale with all proceeds benefitting the library. The next Book Sale is Saturday, July 9 and will have all children’s books in celebration of the Children’s Summer Reading Club. Mr. Freeman added that the 2nd Saturday of the Month Book Sale will run in August with the remaining months in 2011 still up for discussion. The Friends will participate in the Library Board of Trustees July 3rd event booth providing two volunteers and free book coupons. The Friends will host another City of Breezeway Book Sale, Thursday, September 15. They received a donation of 40 boxes of VHS tapes and 50 boxes of gently used adult and teen books from Children’s Hospital of Orange County (left over from a recently Reach Out and Read Program). They are in the process of restructuring their membership and benefit levels and hope to have it ready soon. The Internet Sales, through Amazon.com, has made $1,600 this year. IV. OLD BUSINESS 4.1 Further Discussion on Gift Registry’s The agreement from Barnes & Noble (B&N) Bookfair fundraiser for the Orange Public Library was received and signed by Ms. Moreno. The Bookfair will run Sunday, August 7 through Saturday, August 20. Chair Collins spoke with Shay Beckman, Community Relations Manager for B&N, who told her that people can go to any B&N to purchase items but the display promoting this fundraiser will only be at the Orange location. The library will give B&N a Wish List with titles of materials and they will create an online account with the library Wish List. Bookfair vouchers will be available and must be presented when making a purchase. Chair Collins was told by Ms. Beckman that in-store and online purchases include not only DVD’s, books, and cards but the Nooks as well. Additionally, for those people that purchase E-readers, B&N has also offered to host a free workshop for the public if the library wants them to. Print materials - flyers and vouchers - for the Bookfair are being created. Once they are available library staff will distribute and post throughout the library, post on the City Intranet and library website, announce the fundraiser at library programs, and send to the branch libraries. Trustees will be responsible for distributing flyers and vouchers to local vendors and community leaders. There was also talk about making the flyers available at the City’s Concert in the Park Series at Hart Park. 4.2 July 3rd Event Chair Collins attended the mandatory meeting and received pertinent information regarding hosting a booth. She received six entrance wrist bands to give volunteers who help at the booth, and two vendor parking passes. Discussion followed on booth needs, Trustee responsibilities, and setup and shift times. • Two bags of candy and 6-pack of water – All Trustees • Library giant spin wheel, prizes for give-a-ways, laminated library sign - Trustee Hugo; pickup at library on July 2 • OPLF Pop-up canopy & three folding tables – Trustee VanVoorst; pickup at library on July 2 • Library fire extinguisher, flyers from Library and handouts from OPLF, six folding chairs, paperweights for flyers – Chair Collins CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES June 20, 2011 Page 5 • Setup booth at 2:15 p.m. – Chair Collins, Trustee Hugo and Vice Chair Schlund • 1st shift, 4:30-6:30 p.m. – Chair Collins, Trustee Hugo and Vice Chair Schlund • 2nd shift, 6:30-closing – Trustee Freeman and two FOPL volunteers Ms. Moreno will ask Peter Wetzel of the FOPL to contact Chair Collins with the names of their volunteers. 4.3 Farmers Market in Orange Chair Collins spoke with the organizers regarding library participation. They would like the library to host a booth monthly at the Farmers Market that draws children and families. Suggestions for the booth are – some type of storytime, recipes promoting healthy eating, craft activities for kids, display of children’s books, reading lists for kids, and information promoting library activities is also acceptable. Chair Collins offered to provide her healthy kids recipes that she used when she hosted a cooking class at the library. The organizers are open to most anything as long as it is geared toward kids and families, and is more service related than marketing. The Farmers Market is monthly on Saturday, 8 a.m. to noon. Trustees discussed a date and decided on Saturday, July 16 with setup at 7:15 a.m. There will be two shifts, 7:15 to 9:30 a.m. and 9:30 a.m. to noon. Trustees will email Chair Collins to let her know what shift they can work. 4.4 Library Board of Trustees – Fact Finding on Role of Trustees This will be moved to the July Board Meeting. V. NEW BUSINESS 5.1 School Outreach – Local and Private This will be moved to the July Board Meeting. 5.2 FY2011-12 Library Board Meetings Trustees were in agreement with the proposed FY 2011-12 meeting schedule. 5.3 ACTION, Proposed 2nd Revision to Library Card Eligibility Policy* (Adopted by Library Board of Trustees on September 17, 2001; 1st Revision, November 18, 2002) The proposed addition to the policy is allowing adults and children living in temporary lodging to apply for a temporary library card. After discussion, Trustees suggested additional language changes in paragraphs 1 and 3 for clarification purposes only. Ms. Reichert will email the policy to Trustees once the suggested changes have been added. Trustee Freeman moved to accept the revised Library Card Eligibility Policy with the suggested language changes; Trustee VanVoorst seconded the motion and it carried unanimously.
