Chapman Avenue, Orange CA 92866 I. CALL TO ORDER (3:10 p.m.) 1.1 Pledge of Allegiance Chair Collins led the Pledge of Allegiance. 1.2 Roll Call Trustees Present: Chair Nancy Collins, Vice Chair Jonell Schlund, Trustee Steven Freeman (arrived at 3:50 p.m.), and Trustee VanVoorst Guest: Mayor Carolyn Cavecche Staff Present: Library Services Director Yolanda Moreno, Acting Library Services Director Rosanne Miller, and Executive Assistant Jan Reichert 1.3 Adoption of Agenda Trustee VanVoorst moved to adopt the agenda as presented; Vice Chair Schlund seconded the motion, and it carried unanimously. 1.4 Approval of Minutes Vice Chair Schlund moved to approve the minutes of the November 21, 2011 meeting as presented; Trustee Hugo seconded the motion and it carried unanimously. II. LIBRARY DIRECTOR’S REPORT 2.1 Monthly Report for December 2011 Ms. Moreno gave a verbal report: • Upgraded SAM software, which is the Internet sign-up station for patrons. The upgrade did not allow staff to change the display on the LED sign-up station screen. Technical Services staff is working with the vendor, Comprise, to come up with solutions. Meantime, Technical CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES December 19, 2011 Page 2 Services staff is using a TV that will display computer availability information for the patron until a permanent solution is found. • Since our last meeting, the library has had several successful free programs for our patrons: “Making Baklava” hosted by library volunteer and sub worker Roumi Radenski; “Mystery Movie and More” discussed and watched The Lincoln Lawyer by Michael Connelly; and free Teen Programs “Anime Nights” which saw one of its largest attendance of 35 and “Calligraphy (Holiday Cards)” where professional calligrapher Carolyn Canonico taught teens how to create decorate holiday cards. • The “Here Comes Santa Claus!” program at all three libraries was very successful with a total attendance for all three at 500+. • The Orange Public Library & History Center, Main Library, is going to store the artifacts in the basement from the “Wall That Heals” display that was at Yorba Park last year. The library will display the artifacts in the Tower Reading Room on the 2nd floor, and change out the display periodically. • Local History staff conducted an oral interview with Former Mayor Joanne Coontz, and in January 2012 an interview is scheduled with Mayor Pro-Tem Tita Smith’s father for the Local History collection. • Orange Public Library Foundation (OPLF) staff has been working with the Mead Family of Orange Park Acres for its 2012 Gala. Local History staff met with the family who will donate historical photos for the local history collection. • Five Guys Restaurant in Orange held a fundraiser for OPLF on Thursday, December 15, with the proceeds of net sales from that day going to sponsor the Summer Family Film Festival. • Attended the Orange Rotary Club 90th Anniversary luncheon as guest of Former Mayor Ms. Coontz. • Tuesday, December 13 assisted the Assistance League with wrapping presents for needy families. 2.2 Financial Report for November 2011 Received and filed. This report is a true picture of the new budget that also includes carryovers. The library is right on target with its spending. III. BOARD REPORTS 3.1 Report from Chair Chair Collins attended the Tuesday, December 13 City Council meeting on behalf of the Library Board of Trustees. The Trustees completed their “Fact Finding on Role of Trustees” list that included ideas and suggestions on what Trustees want their role to be, and presented it to the City Council. At the January Board Meeting, she would like to discuss the Trustees role in attending the open house programs for local schools. CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES December 19, 2011 Page 3 3.2 Report from Orange Public Library Foundation Liaison (OPLF) Liaison Ms. Schlund reported that postcards about the upcoming 1st Annual Winter Adult Documentary Film Festival Film have been mailed. She invited Trustees to attend the films with the first one, Buck, on January 7, 2012, 4 p.m. All three films are free to the public and will be shown in the Main Library community room. The Gala 2012 will be Sunday, April 22, Irvine Park, time TBD. Board Member Priscilla Selman is coordinating this event. She added that OPLF is looking for sponsors and underwriters, and live and silent auction items. OPLF received a donor wall gift from the Steadman Family. The next meeting is Monday, January 9. 3.3 Reports from Trustees Trustee VanVoorst was one of Santa’s elves at the Santa Claus program at El Modena Branch Library. 3.4 Report from Friends of the Orange Public Library (FOPL) Liaison Chair Collins (for Liaison Mr. Freeman) reported that FOPL is looking for an editor for their quarterly newsletter and an Internet Sales Director. FOPL is re- thinking providing volunteers for library events such as Treats in the Street, July 3rd and Orange Home Grown Farmers Market. They wish to keep their focus on selling books in the bookstore and giving money to the library, but this will be discussed again at their January 2012 Board meeting. FOPL President Peter Wetzel did say that FOPL would continue to give money toward candy and/or supplies to these library events. IV. OLD BUSINESS 4.1 Orange Home Grown Farmers Market Chair Collins reported that when she initially met with organizers of the Farmers Market they wanted the library to host a booth monthly publicizing library events and services and to help draw in families in exchange for free booth space. She said OPLF has offered to provide a volunteer to help at the booth on the even numbered months. With this in mind, Trustees need to look at what the goal is for the booth and if Trustees wish to continue to participate. Trustees discussed this further and decided that the focus of the booth should include library resources such as Wowbrary, Freegal and E-books. Chair Collins will request a booth for the even numbered months starting in February. 4.2 E-books Ms. Moreno reported that OPLF and FOPL have been approached about funding E-books. She said OPLF President Kim Nichols indicated that they are not budgeted to give the library any specific amount until they see how much will be raised from future fundraisers such as Five Guys and Gala 2012. She added that if the support groups choose not to fund the E-books, the library will find funding from its budget. CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES December 19, 2011 Page 4 4.3 Geek the Library Ms. Moreno, for Assistant Library Services Director Rosanne Miller, said that Geek the Library is a community awareness program about the value of libraries and the critical funding issues they face. The new “Geek” is not a nerdy word but one that means to love, enjoy and celebrate. It’s a free program offered by OCLC, a nonprofit library cooperative, who provides all the marketing materials and startup kit. Orange Public Library will participate and Library Assistant Jack Tsuruda has been assigned as the point person for this campaign. The library will kick-off the campaign around mid-February. Ms. Moreno added that the money for this campaign comes from the Bill and Melinda Gates Foundation. The Trustees are very excited about this campaign and looking forward to how they can be part of promoting it to our community. V. NEW BUSINESS 5.1 Request from Mayor Cavecche Mayor Cavecche addressed the library agenda item that was brought forth by Council Member Fred Whitaker at the Tuesday, December 13, City Council meeting: Direct staff to look at alternative methods for expending library hours and services. Mayor Cavecche and the City Council have been approached by a professional for profit library company, Library Systems & Services (LSSI). LSSI would like to take a look at Orange libraries and the possibility of contracting its services. After meeting with LSSI, Mayor Cavecche asked City Manager staff to take a look at library services and find out if it would work to provide services in another manner, such as contracting out. While she is not certain if this type of approach would be beneficial to the library, because she and City Council were approached they need to look into it. She will remind City Mgr staff to include library staff and Library Board of Trustees in this process with LSSI. Additionally, the Mayor and City Council will be looking for staff and Trustees input and opinion as well. She said this will not move forward until January 2012, but to expect being contacted by City Mgr staff and possibly someone from LSSI. She thanked staff and Board Members for allowing her to attend this meeting and explain what is expected of staff and the Trustees, and to listen to what LSSI has to say with an open mind and then base your opinion on the outcome. 5.2 Safety Concerns This was brought up for discussion at the November 21 Board Meeting by Chair Collins. Chair Collins concern is that the exit in the Children’s Garden is an emergency exit but not a safe egress. Ms. Moreno reported at the November 21 meeting that there are no funds dedicated to addressing the issue with the garden, but she has received a bid for removal of the tree. Removing the tree and pouring cement would be an easy fix in order to make the garden a safe environment until at which time a more permanent solution is found. Ms. Moreno stated, with Mayor Cavecche agreeing, that it would be beneficial for CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES December 19, 2011 Page 5 the Trustees to submit a letter to the City addressing their safety concerns. A motion was made by Trustee Freeman for Library Board of Trustees to write a letter to the City addressing their safety concerns in the Children’s Garden; Trustee VanVoorst seconded the motion and it carried unanimously. 5.3 Library Wish Lists Ms. Moreno stated that she will present the Wish List to the support groups – OPLF and FOPL- at their January 2012 meetings. She is presenting the Wish List in January, instead of the usual time in spring, because items such as E- books, Freegal and Rocket Languages will be on the list. These three items have short turnaround times, E-books (must purchase by end of January to get the discount rate) and Freegal and Rocket Languages (renewal date in March) so the library needs to know if these will be supported by FOPL. She added that FOPL President Peter Wetzel indicated that the library can present library Wish List to them at anytime there is a request, we do not have to wait until spring. The Wish List will be shared with Trustees at their January Board meeting. There was discussion about having a back-up list of those items not supported by the support groups that Trustees can seek donations for as they outreach to the community. 5.4 Staff Development Day Ms. Moreno reported that the library will be closed on Monday, January 16 for staff training. The main speaker will be David Bendekovi, President of The B.A. David Company, who will talk on “Leading During Tough Times.” The day will include team building exercises, group activities, bake-off, new technology/ digital devices, and breakfast and lunch. Ms. Moreno will introduce the Library Board of Trustees to staff at 3 p.m. Ms. Reichert will send a reminder email to Trustees the week of January 9. V. ADJOURNMENT Trustee Freeman moved, and Trustee VanVoorst seconded the motion to adjourn the meeting at 4:45 p.m. The motion carried unanimously.
