Chapman Avenue, Orange CA 92866 I. CALL TO ORDER (3:10 p.m.) 1.1 Pledge of Allegiance Chair Collins led the Pledge of Allegiance. 1.2 Roll Call Trustees Present: Chair Nancy Collins, Vice Chair Jonell Schlund, Trustee Steven Freeman, Trustee VanVoorst and Trustee Marianne Hugo Staff Present: Library Services Director Yolanda Moreno, Acting Assistant Library Services Director Rosanne Miller, and Executive Assistant Jan Reichert 1.3 Adoption of Agenda Trustee Freeman moved to adopt the agenda as presented; Vice Chair Schlund seconded the motion, and it carried unanimously. 1.4 Approval of Minutes Vice Chair Schlund moved to approve the minutes of the July 18, 2011 meeting as presented; Trustee Freeman seconded the motion and it carried unanimously. II. LIBRARY DIRECTOR’S REPORT 2.1 Monthly Report for August 2011 Ms. Moreno gave a verbal report: • Summer Reading Club (SRC) ended Thursday, August 11. The stats are as follows for all three libraries: Adult=233; Children’s=3,238. Ms. Moreno will email Trustees the complete statistics on this year’s SRC in the next couple weeks. • Orange Public Library Foundation (OPLF) had its last Family Film Series on Thursday, August 4, which was Megamind. Each film had an average attendance of 150, and a large amount of candy, water and popcorn was sold. CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES August 15, 2011 Page 2 • Barnes & Noble Library Bookfair is going well. As of the first week the total raised was $2,500. Community Relations Manager Shay Beckman reported that the Library Bookfair is the most successful one that Barnes & Noble has held. The first program at Barnes and Noble – Diary of a Wimpy Kid – was a success. Wednesday, August 17, 6-8 p.m. is the Local Celebrity Storytime. • The City budget will be presented to City Council at the August 23rd meeting for adoption, minus union negotiations which are still ongoing. • As mentioned at the July 18 Board Meeting, the “Yarn Bombing” will take place on Saturday, August 30, 7:30 p.m. The knitting group will show up and “yarn bomb” some objects at the library. Ms. Miller and Acting Senior Library Manager Irma Morales will be present along with local media. City staff, PD and local neighbors have all been informed of this event. Info about this event was “tweeted.” All were in agreement that this event will be good publicity for the library. • Currently, the link on Wowbrary to Amazon.com that allows a portion of purchases to come back to the library was in question because of the new law that required businesses such as Amazon.com to collect sales taxes on purchases that their California customers make on the Internet. Wowbrary was contacted and the library will continue to receive a portion of the purchases. The new law does not affect Wowbrary because of how they are structured. 2.2 Financial Report for July 2011 Received and filed. Ms. Moreno added that the July report does not reflect the new budget as it has not been adopted. Overall the library is under budget and staff only purchases what is needed. III. BOARD REPORTS 3.1 Report from Chair Chair Collins stopped by Barnes & Noble and took pictures using her cell phone of the posters and display materials promoting the Library Bookfair. She was very pleased with the publicity for this Bookfair. She also reported that several employees of Barnes & Noble mentioned to her that they are very excited about this event as well. Chair Collins reminded Trustees about the Orange Home Grown Farmers Market on Saturday, August 20. Trustee Hugo will be working the booth along with Peter Wetzel, Presidents of the Friends of the Library. Chair Collins added that the organizers are encouraging the library to host a storytime at the booth. Ms. Reichert will gather materials (OPL laminated sign, flyers promoting upcoming library events, and promotional materials from OPLF and Friends of the Orange Public Library) for the Farmers Market that Trustee Hugo will pick up from the library. Ms. Miller will contact a sign vendor to make an OPL banner to display at library events such as the Farmers Market and Treats in the Street. CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES August 15, 2011 Page 3 3.2 Report from Orange Public Library Foundation Liaison (OPLF) Liaison Jonell Schlund reported that OPLF will have the Main Library parking lot at the International Street Fair, Sept. 2-4, as a fundraiser. “It’s Your Estate” financial planning workshop series hosted by OPLF & St. Joseph Hospital Foundation begins Sept 14. The eight week series will be at St. Joseph Center in Orange. Four new Board Members have accepted invitations to join the OPLF and will start at the September12 meeting. The upcoming dining series will kick-off on Sunday, Sept. 18, $75 per person. The first dining adventure will be with Chef Haley Nguyen of upscale Vietnamese restaurant, Xanh Bistro in Fountain Valley. The next Board Meeting is Monday, Sept. 12. 3.3 Reports from Trustees Trustee Hugo distributed Barnes & Noble Library Bookfair flyers to her neighborhood, and gave 50 flyers to the PTA President of her son’s school, Chapman Hills. The flyers will be distributed to all the PTA moms in attendance. Trustee Freeman will meet with former OPLF Executive Director Nora Jacob to talk about grants, which she has considerable knowledge of. 3.4 Report from Friends of the Orange Public Library (FOPL) Liaison Trustee Freeman attended the meeting on Monday, August 8. He discussed the role of the Library Board of Trustees and encouraged FOPL Board Members to attend the Trustee Board meetings on the 3rd Monday of each month, 3 p.m. The FOPL will continue with their 2nd Saturday of the month book sale with the next one scheduled for Saturday, September 10. They will also hold a “Breezeway Book Sale” on Thursday, Sept. 18, 11 a.m. to 2 p.m. This event is in conjunction with the City’s Rideshare/Health Fair event on the same day. The FOPL will donate candy to the Library Board of Trustees “Treats in the Streets” booth, and also ask for volunteers to help out at the booth. The FOPL have also agreed to participate in the Orange Home Growers Farmers Market every other month by providing a volunteer. President Peter Wetzel will be the volunteer for Saturday, August 20. The Friends are promoting the Barnes & Noble Bookfair by placing vouchers in their bookstore. They continue to work on increasing their Internet sales. Mr. Wetzel will be attending the “Intro to Facebook for Business” workshop at the library on Tuesday, August 16 so that he can learn how to create a Facebook page for the FOPL. He also added the FOPL currently has 50 volunteers on its roster. The next meeting will be Monday, Sept. 12. IV. OLD BUSINESS 4.1 School Outreach – Local and Private The elementary schools that Trustees will outreach to are: California, Handy, Cambridge, West Orange and Palmyra. Chair Collins will talk with OPLF President and former OUSD Board Member Kim Nichols on how best to get in contact with the school principals. Trustee Hugo suggested that going to the schools Open House, instead of Back to School Night, would be more effective because it’s geared toward CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES August 15, 2011 Page 4 the entire family. Open House is either April or May 2012. Chair Collins will also ask Ms. Nichols when schools start planning their Open House so Trustees can get this on their calendar. Meantime, library staff will put together information packets for every school in Orange that will be dropped off to the OUSD office and placed in school mailboxes. A sample packet will be brought to the next meeting. 4.2 Library Board of Trustees – Fact Finding on Role of Trustees Trustees met on Monday, August 15, 2 p.m. and came up with ideas and suggestions on what they want their role to be. Trustees came up with two categories of special interest to them. This list will be presented to City Council for their input. Chair Collins reiterated that their role is to continue to work alongside the library staff to promote the library and its services. Community Outreach • Face of the library to the general community • Foster relationships with local businesses • Promote library and its programs/events city-wide • Getting literacy program up and running 1. Research how to get funding 2. Recruit tutors • Presence at library special events (i.e., book signings) • Liaison between branch libraries and the public • Foster relationship with local schools • Recommend programs they would like to see at our library • Presence at large community events (i.e., Streets in the Treat, July 3rd, Tree Lighting, etc.) • Maintain interface with support groups – OPLF and FOPL Political • Set and approve library policy • Attend City Council meetings when items between the library and city are on the agenda – Trustees encouraged to have agenda emailed to them to determine if they should attend the meeting • Be available to City Council for any questions they might have about library policies or procedures • Research/Pursue grants for the library – Ms. Moreno will continue to email Trustees any grant-related emails she receives V. NEW BUSINESS 5.1 Trustee Academy Online Courses – Through Citizen’s for Libraries (formerly ALTAFF) Trustees continue to work through the Trustee Academy Online Courses, which has a completion date of September. Ms. Reichert mentioned that the series can be extended CITY OF ORANGE DEPARTMENT OF LIBRARY SERVICES ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES August 15, 2011 Page 5 through November if Trustees need more time to complete the series, which they do. She will contact the administrator of the program to ask for the extension. 5.2 Tweeting with Local Vendors Trustees were all in agreement to talk with local vendors about partnering with the library and offering discounts on a service or product to library card holders. The information would be tweeted, i.e., “show your library card at Cherry on Top for a free topping” and the library will display promotional materials. Ms. Miller mentioned that September is “National Sign-up for a Library Card” month so this might be a good time to talk with the vendors about this. Chair Collins and Trustee Hugo will contact the vendors about what they are willing to offer for the month of September and then report back to the Board. Both the vendor and Trustees would then tweet this info to their followers. V.
