Call to Order / Pledge of Allegiance (3:15pm) 1.1. Roll Call Present: Chair Collins, Vice Chair Schlund; Trustees: Monsees, Freeman, vanVoorst Library Staff: Director Moreno, Children’s Manager Irma Morales, Executive Assistant Julie Eriksen 1.2. Approval of Meeting Minutes dated September 15, 2014 Motion: Schlund Second: Freeman Ayes: Collins, Monsees Abstain: vanVoorst (absent at last meeting) 2. Library Director’s Report 2.1. Monthly Report 2.1.1. This week is National Friends of the Library week; staff has provided goodies for the Friends and will do so all week. 2.1.2. PT Clerk Johnny Mollindo has resigned – he plans to stay on as a sub. 2.1.3. Adult Services Manager Rosanne Miller will be out on medical leave for 12 weeks beginning December 1, 2014; Kurt Keesling with be “acting” in her absence. 2.1.4. STEAM for Teens program TV/Video Day did not get as many participants as previous events, but it worked out well with a smaller group. 2.1.5. Star Wars program had over 100 in attendance. 2.1.6. GRIP held two open houses: one at Taft branch library with over 100 in attendance, and the second at Elmo branch library with about 60 in attendance. They were very successful events. 2.1.7. The library ordered new computer chairs for upstairs and should receive them soon. They plan to order chairs for the Children’s area too. The Library Foundation provided the funds for this. 2.1.8. The Friends provided the library with a $34,600 check to cover six of the items listed on their 2014 Fall Wish List: a) $17,500 DVD renewal b) $4,200 Large Print c) $5,000 Summer Reading Club d) $1,200 Employee Appreciation Program e) $1,700 Volunteer Tracking Software f) $5,000 Downloadable Audio Books 2.1.9. The Library will be closed on 11/11/14 for Veterans Day. 2.1.10. One Book One City – library staff met with Fullerton Public Library staff and discussed collaborating on this program. Fullerton has been doing this program for several years and the library feels they can learn a lot by collaborating. OPL is working with Fullerton to select a book for next year’s program and hope to have one picked by the end of this year. Director Moreno will keep the Board posted. 2.1.11. The Friendly center is having their 90th anniversary partnership banquet on Thursday. Staff member Lizeth Ramirez (Local History) is doing a display for them; Director Moreno along with Ms. Morales will be attending as well. 2.1.12. Director Moreno was asked for a letter of support from Chapman University for their request to host the Folger Shakespeare Library/ALA Traveling Exhibition: Shakespeare and his First Folio, which is scheduled for 2016. Part of this includes that Chapman do some type of collaboration with OPL; the director will work with them on this. 2.2. Financial Report – the library is right on track. The carry-over money is now showing. Page 2 of 4 3. Board Reports 3.1. Report from Chair Collins – Chair Collins stated she had nothing to report, but that she would discuss technology grants under New Business below. Director Moreno stated that they plan to add a placeholder for technology in the next CIP as the library’s technology is already out of date. 3.2. Report from Orange Public Library Foundation Liaison Trustee Schlund – Trustee Schlund reported that she ran into Jackie Slater and asked him if he would be interested in helping with the Foundation. He showed an interest and Trustee Schlund stated she will inform the Foundation Board. She then deferred the update on Foundation news to Foundation Executive Director Julie Kramer who was in attendance. 3.2.1. The Foundation has a mailer insert going out with the Orange City water bill – they do this every year to promote the Library Foundation. 3.2.2. The Foundation is very excited about the new Emigdio Vasquez art scholarship they are funding for the library. 3.2.3. The Foundation would like to improve the movie viewing experience in the community room and asked a local company for quotes on upgrading the screen & speaker system. 3.2.4. Their program “It’s Your Estate” is going very well; the last one in the series is this Wednesday. Next year they are excited to move the program back to the library’s community room. 3.2.5. Next Gala is Sunday, March 29, 2015 at Chapman’s George W. Bush Conference Center. 3.2.6. The Foundation is in the process of finalizing their film picks for their Family Film Festival series next spring. 3.2.7. Next Monday (10/27) the Foundation will screen the documentary Journeyman Architect: The Life and Work of Donald Wexler. Susan Secoy Jenson will hold a Q&A after the screening; the film begins at 6:30pm. 3.2.8. The next Foundation Board meeting is 11/10/2014. 3.3. Report from Friends of the Library Liaison Trustee Freeman 3.3.1. The Friends provided new Halloween bookmark coupons for Treats in the Streets, and President Mary Galuska and Volunteer Director Mary Ellen will assist on the day of the event. 3.3.2. The Friends had a great one-day sale on 9/27/14; they held a booksale in the library’s community room that made $705, and they also held a sale in the Children’s Courtyard featuring military-type items and made $780 from that sale. Mazda provided volunteers for help with set up and the Friend’s stated how happy they were with their help. Friends noted that because Fullerton and Yorba Linda libraries were also holding book sales that same day – they felt this hurt their overall sales. 3.3.3. The Ruby’s Diner fundraiser held by Friends netted $160 (grossed $215). There was a small glitch, Ruby’s had three people call in sick that day, so the wait time was a little long. Despite that, Ruby’s said their sales were up that day and they would love to host again. The Board will discuss future venues for this type of fundraiser. 3.3.4. Elections are coming up in January and they are in need of a Vice President and Treasurer. 3.3.5. Their next book sale is December 6th and is a boutique-type sale featuring Christmas gift-type items in the Rotary Room. Trustee Freeman suggested the Board provide carolers and wassail for the event to keep with the Christmas theme. 3.3.6. The Friends have another booksale planned for May. 3.3.7. The Friends continue to work on the basement clean up. 3.4. Reports from Trustees 3.4.1. Trustee Freeman reported that he was able to bring a vendor on board for “Show Your Library Card and Save” program. He suggests that the library give special recognition to those businesses participating during National Library week next April. Chair Collins thought this was a great idea. Trustee vanVoorst suggested a certificate. 3.4.2. Trustee vanVoorst reported that the back to school night at El Modena was a lot different from last year. She said the table was set up in a different location that she felt was not the ideal spot. She noted that last year the location by the gym was the perfect location and she suggested they set up there next time. Page 3 of 4 3.4.3. Vice Chair Schlund stated they set up adjacent to the school library at Santiago Middle School and said that was a great spot. 3.4.4. Chair Collins reported that Orange HS cancelled their event because of the hot weather. She did not know if they rescheduled. Trustee Monsees thought it was rescheduled for 10/29. 3.4.5. Trustee vanVoorst mentioned that her Kiwanis Club has many teen volunteers that can help with any event. Director Moreno suggested they help the Friends with their book sales. Trustee Freeman said he will bring it up at the next Friends meeting. 4. Old Business 4.1. Treats in the Streets (Thursday, October 30th; 4-7pm) 4.1.1. Access will be granted between 2-2:45 pm for unloading only. You must have the green vendor pass to get access to the area (Ms. Eriksen has the pass and will provide on day of the event). Vehicles can only enter via S. Orange Street and exit via S. Olive Street. All vehicles must be moved from the area by 3pm. 4.1.2. The canopy must be weighed down with 15-pound weights per leg. Each canopy shall have a fire extinguisher mounted either to the canopy itself, or to a table. The Board stated they used zip ties to accomplish this last year. 4.1.3. The OPL booth is in the same location as last year (in front of Watsons). 4.1.4. No masks allowed (appropriate costume attire is required – nothing too revealing). 4.1.5. Ms. Eriksen ordered two lanterns. 4.1.6. Ms. Eriksen will have everything ready on Thursday 10/30 including the two prize wheels, the handouts, prizes, masking tape, fire extinguisher, canopy, weights, etc. She will have most items loaded on a hand-truck and pushcart for easy moving. Please return any unused items to outside her office. 4.1.7. Shifts are as follows: Set up: 2:30-3:30 Collins & Freeman First Shift: 4-5:30 Friends volunteers Mary & Mary Ellen, with Collins & Freeman Second Shift & clean up: 5-7:30 Schlund, Monsees (and Monsees’ husband) 5. New Business 5.1. Read Around the Circle The Board would like to hold this in April during National Library Week. Chair Collins stated that Jeanne at the toy store would like to be involved, and that the City Council was interested in reading to the kids. Director Moreno stated she would like to think this through before moving forward, she felt that the library should first focus on the “One Book One City” program and then after that discuss this idea. Trustee Freeman suggested that the library incorporate this into the One Book One City in October 2015. Chair Collins said that she is happy to start putting the whole thing together and talking to vendors and brainstorming this idea. Director Moreno assigned this to Children’s Manager Irma Morales and asked her to get staff input and report back to her. 5.2. Technology Grants for Libraries Chair Collins handed out information on websites that are actively soliciting grants for libraries and asked the Board to visit these sites at their leisure. Trustee Monsees said that Dollar General has several grants available for libraries and Ms. Morales stated that she just applied for one of those. Chair Collins said that the preface for this is not to create more work for library staff, but for the Board to see what other libraries are getting grants for and do the research for staff. 5.3. GRIP Clean-up Day 11/15/2014 GRIP (Gang Reduction Intervention Partnership) is working in collaboration with Saddleback Church and community volunteers to clean up the area of 1700-2000 East Adams Avenue from 8am-12pm. Ms. Morales invited the Trustees to attend and stated that lunch will be provided. Chair Collins said that she is not available but she may have her husband attend in her place. Trustee vanVoorst stated she might be able to attend and Trustee Monsees stated she has a class that day. 6.
