08.18.2014 LBOT MINUTES - APPROVED CITY OF ORANGE LIBRARY SERVICES DEPARTMENT ORANGE PUBLIC LIBRARY BOARD OF TRUSTEES MINUTES Monday, August 18, 2014; 3:15 p.m. 1. Call to Order / Pledge of Allegiance (3:20pm) 1.1. Roll Call Present: Chair Collins, Vice Chair Schlund; Trustees: vanVoorst, Monsees and Freeman Library Staff: Director Moreno, Children’s Manager Morales 1.2. Approval of Meeting Minutes dated July 21, 2014 Motion: Schlund Second: Freeman Ayes: Collins, vanVoorst, Monsees 2. Library Director’s Report 2.1. Monthly Report 2.1.1. Director Moreno passed out a copy of the wishlist they will be presenting to Friends of the Library at their September meeting; the list totals $43,800. 2.1.2. The Friends had their vintage magazine sale and made $850. They are having an upcoming book sale on 9/27. To help promote these book sales, the library had “lawn” signs made that state “Booksale this Saturday.” 2.1.3. The Friend’s are planning a fundraiser at Ruby’s that is tentatively scheduled for October 1st, once confirmed they will send out a flyer with the details. 2.1.4. National Friend’s of the Library week is October 19th. The library is preparing a proclamation that will go before Council on 10/14. 2.1.5. The Summer Reading Program was very successful with approximately 3,100 children, teens, and adults participating; along with 20 local businesses. 2.1.6. The library collected hundreds of pet supplies for OC Animal Care. 2.1.7. Santiago Library System is in its second year after breaking away from SCLC. Director Moreno pointed out that they will be getting some money from SLS, but that the money could only be used for digit resources such as eBooks. 2.1.8. STEAM for Teens will begin September 13th; it is sponsored by the Library Foundation and Southern California Edison. They have 5 programs scheduled: Biotechnology Day, TV/Video Day, Meet R2D2 & WALL-E, Robotics Engineering & Trend Forecasting by FITM. 2.1.9. The Barnes & Noble bookfair brought in $1,800! B&N will be providing a gift card to the library. 2.1.10. September is National Library Card sign-up month, the library will be giving out free library cards (replacements included) during this month; the Friends will be providing free book coupons to all new library card holders. 2.1.11. At the 8/12/14 council meeting, the Cypress Barrio Historical Society presented the library with a $1,000 donation that is to be used for local history. 2.1.12. OPL will close at 2:30pm on Friday, August 29th due to the Street Fair. 2.1.13. There was discussion about the library purchasing t-shirts for Summer Reading Club, either for sale to the public or as prizes. Director Moreno stated that the library cannot sell items, that it has to go through the Foundation or the Friends. She also voiced her concern about the cost of something like this. Trustee Freeman asked if this was something that could be sponsored. Director Moreno asked Ms. Morales to look into the cost of this. 2.1.14. The library is going to start a staff development program that is a self-directed achievement, called Happy Hour. This program will give staff an hour of time to learn a new skill (it has to be related to the library or 21st century skills). They are working out the details. 2.2. Financial Report – The report provided does not reflect carryover money; but the library is right on track. 3. Board Reports 3.1. Report from Chair Collins - she met Roberta Hooper on 8/9 who is the Library Media Tech at Crescent Elementary. Ms. Hooper stated that they (OUSD) were disappointed that the library did not go with Overdrive for eBooks. Chair Collins said she explained that the library looked at all the different vendors and chose the one they felt was most fiscally responsible. The woman then asked why they didn’t provide textbooks online. Chair Collins explained that they did work on that for almost a year with someone at OUSD but they weren’t making any headway. Chair Collins stated that Ms. Hooper also asked why they weren’t doing back to school night. Chair Collins replied they did do that a couple of times last year and that it’s not always successful. Chair Collins reiterated that the library would love to work with OUSD to get the textbooks online and partner with them at any school events they would like the library to attend. Ms. Hooper followed up with an email to Chair Collins stating that she passed on the information to her colleagues and that they will try to reach her so that she can attend upcoming meetings. Ms. Morales stated she would be happy to attend one of their meetings and would contact Roberta Hooper to make the arrangements. 3.2. Report from Orange Public Library Foundation Liaison Trustee Schlund 3.2.1. The Foundation is preparing for their parking lot fundraising event during the Street Fair; if anyone would like to participate, they should contact Julie Kramer. 3.2.2. Because the Family Film Festival is such a popular event for the library, the Foundation is working with Children’s to plan a “Spring Break” Family Film Festival from 3/30-4/3 2015. 3.2.3. The Architectural & Design event with Susan Secoy Jensen is scheduled for October; they will show a Don Wexler film followed by a discussion. 3.2.4. The Foundation will continue with “It’s Your Estate” program that will start on 9/3 at St. Joseph Center on Batavia. 3.2.5. The next meeting is scheduled for 9/8 at 5:30pm. They did not meet in August. 3.3. Report from Friends of the Library Liaison Trustee Freeman 3.3.1. The Friends met last week and reported that the vintage magazine sale went very well, and took in $880. 3.3.2. The next book sale is scheduled for Saturday, September 27th they will sell books for $3/bag or $5 with a Friends bag. They are also planning to hold a sale in the Children’s Courtyard on the same day that will focus on military type books. Trustee Freeman offered to let them use the two tables stored in Admin and stated that Lending Services Manager Linda Cundiff offered to provide carts they can put books on. 3.3.3. A special holiday book sale is set for Saturday, December 6th; they plan to decorate and have several items to sell. This will be held in the Rotary Room. 3.3.4. They have booked their spring and fall book sale dates (they had to book in advance because lack of availability of the community room). 3.3.5. The Beacon Church volunteers were a big help (9 volunteers for 4 days, working a total of 260 hours); they helped clean out the basement and they assisted the Friends with the vintage magazine sale. 3.3.6. The Friend’s are getting quotes on lettering to rename the bookstore in Arline Minor’s name. 3.3.7. The Friends currently have 60 volunteers and one is going through review. 3.3.8. June Internet sales totaled $1,045.33; they started selling on eBay and sold one book for $700. 3.3.9. The Friends voted to purchase 50 copies of the Book Lovers Calendar from United for Libraries to sell to the public. This is a great fundraiser event. 3.3.10. National Friends of the Library week is October 19-25. 3.3.11. Treat in the Streets is coming up and Friends had stated they would love to help with this. 3.3.12. Volunteer Coordinator Ashleigh Anderson Camba brought a new resource to the Friends; Mazda Corporation allows their employees to do community service and so the Friends are looking into Mazda providing volunteers for their upcoming book sale. 3.4. Reports from Trustees – none. 4. Old Business 4.1. National Night Out recap The glow in the dark fish and handheld-fans were big hits! It was asked if the library could get more of the fans, Director Moreno stated that they would try to get them, but that they were costly. Trustee Freeman stated that he liked the pencils because they had “Orange Public Library” on them, he said he liked giving away prizes that had “our” name on them and hoped the library could order more of these types of prizes. Trustee vanVoorst felt that attendance was down this year; she said she spoke with PD and they felt the same, they said it may be because the event started earlier than last year. Ms. Morales heard that about 6,700 people attended (she said this is not the official number). They agreed the event was a success and plan to continue to participate. They love the new EZ up; Chair Collins suggested to have some battery operated lanterns/lights to hang from the EZ up. Director Moreno stated she would have staff look into that. 5. New Business 5.1. Treats in the Streets (Thursday, October 30th; 4-7pm) Director Moreno reported that library staff member Julie Eriksen will attend the mandatory meeting. Chair Collins would like Ms. Eriksen to ask if the library could get the same spot in front of Watson’s as they have had the last two years. 5.2. Back to School Nights Ms. Morales reported that they are working on setting these up. Once they have the schedule they will provide it to the board for their help. Chair Collins stated she would like to have a plan in place while at these events. She stated when the families show up they just buzz past them to get to their kids’ classrooms. She would like a plan other than just asking if they have a library card. Trustee vanVoorst pointed out that the parents are in a hurry because they have to get to the classroom by a certain time or they miss the whole presentation; and then they’re in a hurry to get home and have dinner. Chair Collins suggested that the library hand out goody bags filled with bookmarks, pencils, piece of candy, and a small flyer for upcoming events. She figured that way the parents can just grab one and go. Chair Collins suggested the library purchase the bags from “My Girlfriends House.” Ms. Morales said she would look into it. Chair Collins stated she could help put the goody bags together.
