Call to Order / Pledge of Allegiance 1.1. Roll Call Present: Nancy Collins, Steve Freeman, Patti vanVoorst (arrived 3:30), Joyce Monsees, Marva Hitchcock; Library Staff: Yolanda Moreno, Amy Harpster, Julie Eriksen 1.2. Approval of Meeting Minutes dated May 18, 2015 Motion: Freeman Second: Monsees Ayes: Collins, Hitchcock (vanVoorst was not present for this) 2. Library Director’s Report 2.1. Monthly Report 2.1.1 The library received a $10,000 grant for Latino Americans 500 Years of History. Only 55 recipients received $10,000. Programs will begin in September and last through June 2016. 2.1.2 The library will be migrating their Sirsi system in order to be compatible with Windows 8.1 (the city recently upgraded all computers to 8.1). 2.1.3 The budget was approved at the 6/9/15 council meeting, which included getting the library new self-check machines as part of the CIP budget. 2.1.4 Summer Reading kicks of this Saturday 6/20/2015. The state of California put out a challenge to reach one million sign-ups; the library is participating in this challenge. 2.1.5 Upcoming book signings in conjunction with Book Carnival include: CJ Box on July 30; Craig Johnson in October, and Michael Connelly and Robert Crais in November. 2.1.6 The library conducted a survey to see how they were doing; they received 456 responses with an overall “excellent” rating from patrons. The number one reason patron’s love the library is being able to place holds for free. They also rated high with self-checkout, free Internet access, and children’s programs. 2.1.7 All library branches will be closed on Friday, July 3rd and Saturday, July 4th. 2.2. Financial Report – It’s the last month of the fiscal year. Funds were moved to help cover the cost for the Sirsi migration as stated above. The library is right on track. 3. Board Reports 3.1. Report from Chair Collins – nothing at this time. Report from Orange Public Library Foundation Liaison – The next regular scheduled meeting is July 13, as the board meets every-other-month. Chair Collins will attend as the new liaison. Director Moreno reported that the library is waiting for the funds raised from the gala, she was told it would be around $17,000 and the money is earmarked for technology. The Foundation received six applications for the Executive Director position, they plan to interview three of them. (6/15/15 Minutes, pg. 2) 3.2. Report from Friends of the Library Liaison 3.3.1 Trustee Freeman introduced Trustee Hitchcock as the new liaison to the Friend’s Board. 3.3.2 Trustee Freeman requested $500 to help pay for supplies for the 3rd of July, National Night Out, and Treats in the Streets events. Staff will submit receipts to Friends and they will in-turn request a check for reimbursement. 3.3.4 Mary Ellen from the Friends stated she would help at the 3rd of July event. 3.3.5 Friends took in $856 at the book sale on 5/30 and the bookstore sold $290 for the day (which is double what they normally do). They have 30 boxes leftover from the sale they will store until the next book sale which will take place on 9/26/15. 3.3.6 Amazon profit $210; eBay $19. This was their lowest month. 3.3.7 Friends will be putting together a Facebook page. 3.3. Reports from Trustees – Trustee Monsees reported that she attended the Open House at Handy Elementary with Children’s Manager Irma Morales. She stated that 99% of the parents speak Spanish only. Trustee Monsees mentioned that her term expires in August and that she may not be returning due to other commitments. 4. Old Business 4.1. Third of July event – because the Library will be closed on 7/3 (official observance of holiday by City Hall), Chair Collins and Trustee Freeman will pick up the items from the library on Thursday, July 2nd. The items will be returned on Monday, July 6th. Shifts were determined as follows: 2:00 - 4:30pm: Collins and Freeman (deliver & set up) 4:30 – 7:00pm: vanVoorst and Monsees (with assistance from 4 of Patti’s volunteers) 6:45pm – everyone back to help break down and return items to vehicles. The board requested 200 copies of “Show Your Library Card & Save” flyers, and 100 copies of Children’s & Adult Calendar flyers (2-sided), as well as literature holders. Ms. Eriksen suggested they change the prize wheels to list numbers that correspond with buckets filled with the prizes (placing 3-4 items per container depending on how many prizes they have). The board agreed to this. Trustee Collins stated she would purchase candy for this event. 4.2. Two Books, Two Cities (Yolanda Moreno) Staff is working on programs and flyers to promote this event. Programs include: book discussions, viewing of two movies: To Kill a Mockingbird, and The Help; special speaker John Eastman; a southern cooking program called “Good Gravy”; folk music for the 30s & 50s, trivia, and old-time games for kids such as marbles & jacks. The younger kids will be reading Babe, and Bud not Buddy for this program. Banners will be up at all libraries. Chair Collins suggested the library purchase a copy of each book and present them to each city council member at a council meeting during the kick-off. Director Moreno stated they could make these purchases and then each board member present a set to each councilmember at the September council meeting. Ms. Harpster will get this added to the September city council agenda. (6/15/15 Minutes, pg. 3) 4.3. Revise/Review “Draft: Role of Library Board of Trustees” – the board reviewed the draft dated 6/15/15 and have no changes to the roles; however they would like more time to work on the mission statement. The board will provide their input to Ms. Eriksen who will email the ideas to the board prior to the next scheduled meeting. 5. New Business 5.1. Barnes & Noble Bookfair (July 6-12 – assistance requested for July 6th from 6-7:30pm) Chair Collins volunteered to assist staff on July 6th. Ms. Eriksen will inform necessary staff. Vouchers were provided to Chair Collins to distribute as needed. 5.2.
