11-18-2019 Library Board of Trustees MinutesORANGE PUBLIC LIBRARY BOARD OF TRUSTEES Approved 01/27/2020 MINUTES Monday, November 18, 2019; 3:30 p.m. 1. Call to Order / Pledge of Allegiance (3:30pm) 1.1. Roll Call Present: Steve Freeman, Rebecca Martinez, Patti vanVoorst, Marva Hitchcock, Peggy Calvert 1.2. Approval of Meeting Minutes dated October 21, 2019 Motion: Martinez Second: Hitchcock Ayes: Freeman, Martinez, vanVoorst, Hitchcock, Calvert 2. Library Updates by staff member Sarah Landreth 2.1. Show Your Library Card & Save - program & survey updates 2.1.1. Ms. Landreth met with each vendor to ensure their participation and confirm what type of discount they are offering. 2.1.2. Currently there are 29 businesses participating (called partners). 2.1.3. Participating partners are highlighted on Instagram. 2.1.4. Half of the surveys have been returned. Still compiling information. 2.1.5. Library staff competed to add new partners to the program; 38 business were approached, of that three signed up. 2.1.6. Promoting the program at community events. 2.1.7. Trustee Calvert asked what the goal is for this program. Ms. Landreth stated: 1) To help increase library card sign ups, 2) Create community partnership, and 3) Show that the library has an active role in the community and supports local commerce. Chair Freeman stated that when the Board initially started this program it was to make the library more visible. 2.1.8. Chair Freeman asked if the electronic library card can be used/shown for this program. Ms. Landreth stated that yes, it can. 3. Library Director’s Report 3.1. Updates 3.1.1. Library’s Instagram has 700 followers. 3.1.2. The City is migrating to a new web platform. 3.1.3. Branches getting RFID equipment early December. 3.1.4. Staff continues to improve the seating area upstairs at Main. 3.1.5. New carpet installed in the Community Room. 3.1.6. Old Towne Preservation Association donated $500 to the Library. 3.1.7. Attended the California Library Association conference with Literacy Coordinator Jennifer Hiza, found it very informative. 3.2. Financial Report – Library is on track. The City is rolling out new budgeting software that staff will begin using in 2020. 4. Board Reports 4.1. Report from Orange Public Library Foundation (Lynn-Marie Frediani) 4.1.1. The new website is up. 4.1.2. STEAM for Teens is going well. 4.1.3. Working on a grant from Edison. 4.2. Report from Friends of the Library Liaison (Trustee Hitchcock) 4.2.1. Trustee Hitchcock reported the Board is getting ready for new officers. 4.2.2. Donations are going strong. 4.2.3. Internet sales are available during the holiday closure. 4.2.4. Internet sales for November $915. 4.2.5. Woody’s fundraiser earned $121. Library Board of Trustees Meeting 11/18/19 Page 2 of 2 4.2.6. Friend’s Board has moved their monthly meeting from 1pm to 2pm. 4.2.7. 57 Coupons redeemed: 39 Friends, 10 memberships, 6 Treats in the Streets, 1 Concerts in the Park, and 1 National Library Card signup. 4.3. Report from Chair Freeman - none 4.4. Reports from Trustees - none 5. Old Business 5.1. Treats in the Streets recap 5.1.1. Need to purchase more candy (13 bags purchased but ran out). 5.1.2. Both Plinko games were used. 5.1.3. It was helpful having three volunteers working the line. 5.1.4. Will need to bring paperweights for flyers next year. 5.1.5. Bring water for staff next year (can use candy money to purchase). 5.1.6. The stuffed animals were a hit and it was request to purchase more next year. 6. New Business (none) 7.
