Amendment No. 1 to Contract Agreement No. 6497 with Diversified Thermal Services, Inc.
2. SUMMARY
Amendment No. 1 will extend the Diversified Thermal Services, Inc. Contract Agreement for
preventive maintenance and emergency repairs of the Heating Ventilation, and Air Conditioning
Equipment (HVAC) equipment at various City buildings for six months.
3. RECOMMENDED ACTION
Approve Amendment No. 1 to the Agreement between Diversified Thermal Services, Inc. and
the City for an increase of $47,438, and authorize the Mayor and City Clerk to execute the
amendment on behalf of the City.
4. FISCAL IMPACT
The total expenditure for this amendment is $47,438 and will be funded through:
General Fund (100) $43,938
Orange Children and Parents Together (150) 500

7. DISCUSSION and BACKGROUND
On July 11, 2017, the City Council awarded a contract to the lowest bidder Diversified Thermal
Services Inc. of Anaheim in the amount of $94,875. The contract will expire on August 8, 2018.
Due to the emergency service needs for the summer months, staff is recommending that the City
Council approve Amendment No. 1 to extend the contract six months, to February 8, 2019, in the
amount of $47,438.
This agreement provides preventive maintenance and emergency repairs to maintain the HVAC
equipment in good operating condition. The HVAC units are located at the Civic Center,
Community Services Building, all eight Fire Stations, Main Library and the two Branch
Libraries, all parks buildings, Santa Fe Depot Building, Police Headquarters, and the Senior
Center. The tasks may include, but are not limited to:
1. Inspecting all components and controls for proper operation, adjust as needed.
2. Inspecting electrical components, terminal connections and wiring.
3. Measuring operating voltages and amperages as required.
4. Checking visual evidence of leaks in coils.
5. Inspecting condensate pans and drain lines for proper flow.
6. Inspecting motor mounts and fastening as needed.
7. Inspecting belt alignment and tension and adjusting as needed.
8. Cleaning intake air screens or grilles as needed.
9. Many other tasks outlined in the scope of work of the contract.
Maintenance work will begin upon execution of the amendment and be completed six months
from that date. Staff will prepare contract document to bid this maintenance service again by
November 2018.
