03.15 Council Chamber Project Management Amendment1. SUBJECT First Amendment to Consultant Services Agreement with Darren Doerschel for Project Management of the City Council Chambers Project 2. SUMMARY The City has contracted with Darren Doerschel to provide consulting services related to the technology upgrades of the Council Chambers Remodel and to provide project oversight. The original contract with Mr. Doerschel was signed by the City Manager in the amount of $29,925. In order to continue his role with the project through training and re- opening of the Council Chambers, staff is seeking to extend the contract by an amount not -to- exceed $18,000, for a total of $47,925. 3. RECOMMENDED ACTION Approve First Amendment with Darren Doerschel for an amount not -to- exceed $18,000 and authorize the Mayor and City Clerk to execute on behalf of the City. 4. FISCAL IMPACT Funds are budgeted and available in the following account: 130.1601.56032.20128 Council Chambers Remodel $168,559 5. STRATEGIC PLAN GOAL(S) 1 b. Provide and maintain infrastructure to ensure the safety of the public. 6. GENERAL PLAN IMPLEMENTATION Not applicable. 7. DISCUSSION and BACKGROUND The City has contracted with Darren Doerschel to provide consulting services related to the technology upgrades of the Council Chambers Remodel and to provide project oversight. This project is very unique and required a person that has a tremendous amount of experience to ensure that the City's best interests were fulfilled. The City has entered into several agreements with Mr. Doerschel for consulting related to the audio visual technology of both Phase I (the "back of the house ") and Phase II (the "front of the house "). With the retirement of the Deputy City Manager, who was overseeing the project on behalf of the City Manager's office, Mr. Doerschel was engaged to provide overall project oversight. The Agreement for Phase II oversight budgeted 315 hours at a rate of $95 per hour. This amounted to a not -to- exceed amount of $29,925. The hours allotted for the contract will be exhausted shortly. Mr. Doerschel has provided excellent service to the City and his recommendations have added both necessary technology and cost savings to the project. Therefore, staff is requesting an amendment to the contract, which will provide an additional $18,000 for approximately 190 hours, for a total of $47,925.
