10.19.2015 Library Board of Trustees Minutes - ApprovedORANGE PUBLIC LIBRARY BOARD OF TRUSTEES MINUTES Monday, October 19, 2015; 3:15 p.m. 1. Call to Order / Pledge of Allegiance (3:15pm) 1.1. Roll Call Present: Chair Nancy Collins, Vice Chair Steve Freeman, Trustees: Patti vanVoorst, Joyce Monsees, Marva Hitchcock Library Staff: Director Yolanda Moreno, Acting Assistant Director Amy Harpster, Julie Eriksen 1.2. Approval of Meeting Minutes dated September 21, 2015 Motion: Freeman Second: vanVoorst Ayes: Collins, Hitchcock, Monsees 2. Library Director’s Report 2.1. Monthly Report 2.1.1 Director Moreno reported her retirement effective 12/1/2015; there will be an open recruitment for this position; the City Manager has not announced an interim at this time. 2.1.2 Adult & Branch Services Manager, Rosanne Miller announced her retirement; her last working day is October 22. 2.1.3 The City underwent the migration to the new phone systems, there have been many issues that are still not resolved. They hope to have everything working properly soon. 2.1.4 The Sirsi migration took place the end of September (over three days), there were some issues, but it appears everything is working normal now. 2.1.5 Two Books Two Cities is well on its way. Elmo had over 50 people attend the old time games, Main had about half that for the same event. Many more programs in the coming weeks. 2.1.6 Upcoming author visits: 10/30 at 7pm Craig Johnson; 11/22 (a Sunday) at 2pm Robert Crais 2.1.7 The OTPA Home Tour is scheduled for 11/7 & 8; Ms. Harpster will be opening the Community Room for their use on Sunday. They made a $500 donation to the library. 2.1.8 The Friends made their $30,450 check presentation at the 10/13/15 council meeting. 2.1.9 Staff visited Oceanside Public Library to review their self-check machines, the same ones the library will be getting early next year. 2.1.10 The City Council approved Requests for Proposals for cabling at Taft branch library and at the Shaffer Fire station. 2.1.11 The Foundation has reached out to El Modena teachers and beginning Feb ruary 2016 the teachers will be making presentations that fall within the STEAM guidelines. All future programs the library had planned were cancelled. 2.1.12 Kathleen Ford’s memorial (Irish Wake) will be held at Courtney’s home on 11/14 from 3-7pm. Trustee vanVoorst asked if the email could be forwarded to the board (they did not receive it). Ms. Eriksen will send it to them. 2.2. Financial Report – Library on track. 3. Board Reports 3.1. Report from Chair Collins 3.1.1 Attended the funeral for Dick Meadows and thinks that a donation might be coming to the library from his estate. 3.1.2 Spoke with Susy Cunningham and she indicated that the Community Foundation is doing a Field of Valor for the week leading up to Veteran’s Day and Chair Collins though that they may want to contact the families who provided photos for Shades of El Modena to encourage them to purchase a flag. Director Moreno will check with staff to see if they have a list of families. 3.2. Report from Friends of the Library Liaison Marva Hitchcock 3.2.1 They received new bags and were very happy with them. 3.2.2 The book sale was very successful, made $1,250. Books not sold were taken to the City’s Warehouse. 3.2.3 They discussed programs to move unwanted books from the basement. 3.2.4 Received 21 new members. 3.2.5 Holiday book sale scheduled for 12/5 in the Rotary Room. 3.2.6 Next book sale scheduled for March 2016 (she thinks 3/5). 3.2.7 Internet sales for September was $507. 10/19/2015 Minutes, Page 2 3.3. Reports from Trustees 3.3.1 Trustee vanVoorst is not moving from Orange and therefore will remain on the board. 3.3.2 Trustee Monsees reported that she is taking the CERT training provided by the city and stated that it’s a really good program that everyone should think about taking. 4. Old Business 4.1. Treats in the Streets (10/29 from 4-7pm) 4.1.1 The shifts for the event will be: 2:30-5:30: Nancy & Tim Collins, and Steve Freeman; 5:30-7 Joyce & Mark Monsees; Marva will arrive around 3:30pm. It was mentioned that Mary, the Friend’s President, will assist at the booth. Trustee vanVoorst is working the Kiwanis booth, but will provide four volunteers to help the Library Board. Chair Collins wanted to make sure the volunteers understood their role when working the booth. Chair Collins stated she will purchase candy, the Friends will reimburse for this. 4.2. Library Board By-Laws Revision Approval – the draft bylaws are with the City Attorney for review/input, the board will table this item until they receive his input.
