04.18.2016 Library Board of Trustees Minutes - ApprovedORANGE PUBLIC LIBRARY BOARD OF TRUSTEES MINUTES Monday, April 18, 2016; 3:30 p.m. Taft Branch – Salter Annex Room, 740 E Taft Ave, Orange CA 92865 1. Call to Order / Pledge of Allegiance (3:37 p.m.) 1.1. Roll Call Roll Call: Chair Nancy Collins, Vice Chair Steve Freeman, Trustees: Patti vanVoorst, Marva Hitchcock and Rebecca Martinez. Library Staff: Acting Director Amy Harpster, Executive Assistant Julie Eriksen 1.2. Approval of Meeting Minutes dated March 21, 2016 Motion: Freeman Second: Martinez Ayes: Collins, vanVoorst, Hitchcock 2. Library Director’s Report 2.1. Monthly Report 2.1.1 Managers met with new Director and they are very excited for him to get started on 4/25/16. 2.1.2 Two new pages started, one will be working at Taft and the other at Main. 2.1.3 Latino American’s program is going well, the last program brought in 120 attendees. 2.1.4 Show Your Library Card is adding new businesses. 2.1.5 Applied for a grant from the Rotary for Read OC program. Trustee vanVoorst asked that the library also send one to Kiwanis. 2.1.6 Computer use time has been extended to 2.5 hours per day. 2.2. Financial Report – Library still right on track – right where they should be. 3. Board Reports 3.1. Report from Chair Collins – would like to encourage the Board to help promote the Read OC program. 3.2. Report from Orange Public Library Foundation Liaison (Chair Collins) 3.2.1 The Gala is June 5th. Trustee Martinez stated she has sent out the 5 letters that were provided to her for requesting donations/gift baskets. The Library Board is putting together a basket; Trustee Martinez will take the lead to purchase the items (beach & book theme), the budget is $125-150, each member will pitch in $25-30. 3.2.2 The seed library is going well, they signed up 100 people and gave out over 500 packages of seeds. 3.2.3 The final documentary “Most Likely to Succeed” took place Saturday (4/16) with 40 people in attendance. Not as many in attendance as the other films, but all who attended participated in a discussion afterwards. 3.3. Report from Friends of the Library Liaison (Trustee Hitchcock) 3.3.1 Kathleen Stevens is now the president and Mary Galuska is now the secretary (they switched roles approved by a vote). They are looking to add more board members. 3.3.2 Internet sales brought in $1,116. They started selling internationally. 3.3.3 Friends made two baskets for the Foundation Gala; each will include a Friend’s membership. 3.3.4 Next book sale is June 29-30 in the Children’s courtyard. 3.3.5 Next fundraiser is at Wise Guys, June 11-16. 3.3.6 The Friends have several history books on Orange and they are considering having an Orange History day. Ms. Harpster is working with them to get this set up. 3.3.7 Friends asked if the library wanted bookmarks for the Third of July event and it was relayed that yes they do (will be discussed further below in Item 5.1 below). 3.3.8 Friends voted to sign up with United for Libraries newsletter again. Reports from Trustees Vice Chair Freeman – asked if staff could look into adding the Library Board meetings to the city calendar located on the website. Ms. Eriksen will look into it. Trustee vanVoorst – will look to see if Kiwanis has money to provide a printer for the Literacy Room. Trustee Martinez – would like to meet the board member of the Friend’s and it was suggested that the Library Board of Trustees attend the next Friends meeting on 5/9/16 at 1:00pm. Staff reminded the Board that the volunteer recognition reception was taking place this upcoming Saturday and that the Friends will be in attendance. Chair Collins said she would like to see all of the Trustees at the Friends meeting on 5/9. Trustee Martinez spoke about the OUSD librarians meeting at the library. She said it was such an eye opener for them as they didn’t realize all of the things available at the library for free and they didn’t realize that they did not have to be a resident to get a library card. They were all excited to share the library information with their students. Vice Chair Freeman would like to see OUSD librarians conduct at least two of their meetings at the library to help foster the relationship. He said it was a really good exchange between the librarians and library staff. Chair Collins asked what the next step would be, and Trustee Martinez stated that they are working with OUSD schools to include a link to the library directly on their school website. Vice Chair Freeman suggested they get a list of books the Friends will have for sale at their next children’s book sale in June, and then distribute it to the schools. Trustee Freeman stated that the Board would like to get trained on giving tours of the library, complete with a cheat sheet of facts about the library. 4. Old Business 4.1. National Library Week (4/10-16) recap Department Heads and city staff participated in taking photos. Everything is on the Library’s Pinterest board. These photos will also be used for “Get Caught Reading” in May. 4.2. Open House events Completed: Cambridge 3/22 & Jordan 3/29 with Trustee Martinez – everything went well, they had a huge turnout. They passed out bookmarks, candy, and 200 summer reading club flyers. Upcoming: Taft on 4/19 with Trustee Hitchcock & Orange High on 4/20 with Chair Collins Chair Collins asked why the library didn’t go to Serrano (even though it’s in the city of Villa Park – it’s part of OUSD). Ms. Harpster stated that staff has to prioritize where to go based on dates/times of the open houses, but she will check with Children’s Manager and follow up with Nancy. 4.3. Serving with a Purpose Conference (5/12) – Collins, Freeman, vanVoorst, and Martinez are all confirmed to attend. The Board will coordinate carpooling to this event. 4.4. Welcome Event for new Director – Chair Collins stated that the City Manager Rick Otto said he wanted to do something with all boards participating. Trustee Freeman felt that we needed two events, keeping a separate event for just the boards in a social environment. He suggested that the trustees ask the Friends at their next meeting if they want to help put this together. Chair Collins stated she will touch base with the new director after he gets settled in. 5. New Business 5.1. Third of July Event update – the Board will ask the Friends for money to purchase candy and prizes, as well as bookmarks. Ms. Harpster stated that she will get a list of what prizes and candy is left over from last year. The Board will determine shifts at the May or June meeting. Trustee Martinez stated that she will be out of town at that time. Trustee vanVoorst asked if they wanted her Kiwanis volunteers to help this year, Chair Collins stated yes. 5.2. Policy Review/Approval: 1) Library Card Eligibility, 2) Collection Development Motion: Approve Collection Development policy with minor word changes. Public Comment Linda Cundiff, Executive Director of the Orange Public Library Foundation, informed the Board that she was interviewed by the Old Towne Plaza Review because they are doing an article on partnerships between businesses and the library. She said the first thing she told them about was the library’s “Show Your Library Card & Save” program, and how the Library Board of Trustees partners with the Orange Unified School District by attending open houses. She said she wanted to promote the library before speaking about the Foundation. 8.
