Monday, March 21, 2016; 3:30 p.m.
El Modena Branch Library
1. Call to Order / Pledge of Allegiance (3:42 pm)
1.1. Roll Call: Chair Nancy Collins, Vice Chair Steve Freeman, Trustees: Patti vanVoorst, Marva Hitchcock and
Rebecca Martinez. Library Staff: Acting Director Amy Harpster, Executive Assistant Julie Eriksen
1.2. Approval of Meeting Minutes dated February 22, 2016

2. Library Director’s Report
2.1. The library has a page retiring at the end of March; since they recently did a recruitment, they will be able to
select from the current list.
2.1.1 City Manager Rick Otto stated the background for the prospective new director is going very quickly and the
person may be starting sooner than he anticipated (which was May 1). Once the person is on board, Mr. Otto
would like to hold an introduction meeting with the Library Management team and the three Board presidents
(Friends, Foundation & Trustees). Ms. Harpster stated that they also plan to hold a reception for everyone to
attend and meet the new director.
2.1.2 The March Latino Americans program went well. The Library had another author visit on 3/19 with T. Jefferson
Parker with about 60 people in attendance. This number was down a little compared to past author visits.
2.1.3 The Council is holding a special budget session on 3/22/16; this is the first study session for the FY 16/17 budget.
2.1.4 As requested at the January Board meeting, staff contacted Jeanie Viveros (owner of Tidily Winks) to discuss
working in conjunction with them for a visit from the Fancy Nancy author. Unfortunately Jeanie didn’t have any
connections and hoped that the library did. Children’s Manager Irma Morales then contacted a friend who knows
the publisher of Fancy Nancy, unfortunately they were not willing to provide any info or assistance.
2.1.5 One of the Orange Rotary Club’s asked the library to provide a simple proposal for contributing towards the OC
READ literacy program. Ms. Harpster will keep the board posted on the outcome.
2.1.6 The library has on order, from the funds of the Foundation Gala last year, for two public printers, a new plotter
(for staff), and three laptops (one for Taft and Elmo and the other for the homework center).
2.1.7 The Teen Advisory Group (TAG) is planning a summer craft program.
2.1.8 Staff was contacted by OUSD, they are having an art contest and would like to hold the contest at the library and
have asked the Library Board to be the judges. This will take place 10 a.m. on Friday, May 20, 2016.
2.2. Financial Report – library is right on track.
3. Board Reports
3.1. Report from Chair Collins – Chair Collins is encouraged about OC Read and has asked the Foundation to help fund
some items for this program. She also stated that they need a new printer/scanner and updated resources for the
Literacy Room at the library. Trustee vanVoorst stated she may have money left over from her Kiwanis group and
could possibly use it to purchase a printer/scanner to donate to the Literacy Room. She will look into it.
3.2. Report from Orange Public Library Foundation Liaison (no meeting this month)
The Foundation’s Executive Director Linda Cundiff informed the Board that the seed library started on Saturday,
March 19, and they had 37 people sign up for the Seed Library. She was very excited with the participation. Ms.
Cundiff explained that the plan for the community to take/leave seeds is not quite there yet. She explained that there
a legal issue and at this time they cannot accept seeds from the public, but they will have this rectified in the near
future. Currently, all seeds are provided from specific seed donors and not from the general public. Ms. Cundiff
passed out a copy of the article that appeared in Orange Review about the Seed Library. She also provided a list of
the money they have given to the library since April 29, 2013. As well as a donation letter that she asked the board
to give to businesses to help collect donations for the Foundation Gala (she gave them each 5 letters to distribute as
they see fit). Chair Collins also asked the Board to help contribute towards a basket to be given to the Foundation
for the Gala, as well as attend the event on June 5, 2016 at the Jones Victorian Estate, cost is $125. They briefly
discussed doing a beach basket or “books for the beach” basket.
They had the showing of “Plant this Movie” on 3/19 with 60 people in attendance. The next movie is scheduled for
4/16 titled “Most Likely to Succeed” which is an educational film. Other upcoming events include their annual
financial seminars beginning on March 29 with “It’s Your Money” which is about investing your money and will
run every Tuesday for 8 weeks.

3.3. Report from Friends of the Library Liaison (reported by Steve Freeman)
The Friends made $1,214 from their recent two-day book sale. They also signed up 13 new members, and now have
a total of 164 members. They have a total of 68 volunteers. They have made a lot of progress with organizing the
basement and now have everything in alphabetical order. They have agreed to put anything that is over 5 years old
straight to the ten-cent shelf. Internet sales profit for February was $538.75 with the sale of 34 books. They have
changed their policy on the types of books they place for sale on the internet. The Friends are planning a fundraiser
to be held at Wise Guys in Orange, they are looking at the third week in June. President of Friends Mary Galuska
said she will stay on as President until they find someone to take the role permanently. The Friends had a closed
session in which they were going to discuss the Spring Wish List from the Library.
3.4. Reports from Trustees
Trustee Martinez reported that she went to the first open house here at the library with the District middle school
and high school librarian’s. She will be assisting with a tour of the library this Wednesday to 24 librarians. She was
surprised how many of the school librarians didn’t know a ll of the wonderful things the library offered. She said the
event was very successful.

5. New Business
5.1. What to Expect from Libraries in the 21st Century (Collins)
Chair Collins shared a video that was sent to her by Trustee Martinez. She encouraged the Trustees to check out
what other libraries are doing to move forward in the 21st Century.
5.2. Serving with a Purpose conference 5/12/2016 9 am – 4 pm
Collins, Freeman and vanVoorst said they will attend. Trustees Martinez and Hitchcock said they will check their
schedule and let Ms. Eriksen know. The library will cover the cost for those attending.
5.3. Discuss holding a “welcome” event for new Library Director (Freeman)
Vice Chair Freeman suggested a BBQ at the library on a Thursday or Friday after the library closes. This would
be for all staff to attend as well as Friends & Foundation board. He envisions this would be an introduction from
the Library Board of Trustees welcoming the new director to the library.
5.4. National Library Week 4/10-16
The theme for National Library week is “Libraries Transform” using Superheroes as the draw. The month of May
is “Get Caught Reading” month and the library would like to tie this into National Library Week by taking photos
of staff/board/anyone reading their favorite book.
5.5. Foundation Games Saturday 4/16/16
There is no space available at the event. The Library was offered a sp ot outside of the gates, but declined the offer.
5.6. Discuss and/or vote on possibility of changing the start time for Board Meeting (Freeman)
Motion: Freeman moved to change regular scheduled meeting start time to 3:30 p.m. from this point
forward
