11.20.2017 Library Board of Trustees Minutes - ApprovedORANGE PUBLIC LIBRARY BOARD OF TRUSTEES MINUTES Monday, November 20, 2017; 3:30 p.m. 1. Call to Order / Pledge of Allegiance 1.1. Roll Call (3:30pm) Present: Freeman, Collins, vanVoorst, Hitchcock, Martinez Absent: none 1.2. Approval of Meeting Minutes dated October 16, 2017 Motion: vanVoorst Second: Martinez Abstain: none Ayes: Freeman, Collins, vanVoorst, Hitchcock, Martinez 2. Library Director’s Report 2.1. Library Updates 2.1.1 The Library will be increasing the cleaning of the sidewalks around the library. 2.1.2 Staff was having an issue with a patron moving books, magazines, DVD and leaving them in disarray, the person has been identified and spoken to. 2.1.3 The Library is getting new public copiers for all OPL locations. 2.1.4 Librarian III interviews will be taking place in the next few weeks. 2.1.5 The Fall wishlist is ready for the Foundation. 2.2. Financial Report – Library is on track. FY19 budget process starts next month. 3. Board Reports 3.1. Report from Orange Public Library Foundation Liaison (Trustee Martinez) 3.1.1 Working on a Mother’s Day Seed project for 2018. 3.1.2 STEAM for Teens event had 10 in attendance to learn about milk. 3.1.3 The 2018 Gala committee is working on the next event. 3.1.4 The 2018 Documentary Series dates & films have been selected: 1/27: bag it, 2/24: IRIS, and 3/24: SEED. 3.2. Report from Friends of the Library Liaison (Trustee Hitchcock) 3.2.1 Holiday Boutique book sale is on 12/2/17 from 10am-4pm. 3.2.2 Sue Glover resigned from the Board. 3.2.3 $70 from new memberships in October. 3.2.4 10,400 pounds of books were shipped to a donation center, Friends receives $.02 cents per pound for this. 3.2.5 Three new volunteers and 3 in the process. 3.2.6 Bruxie fundraiser profit was $13.98, California Pizza Kitchen was $43. 3.2.7 September book sales $756. 3.2.8 Ballots for Board will be in the next newsletter. 3.2.9 Volunteers to pull the “classic” books donated and make them available for buyback (if the buyer returns it they will get a Friends coupon). This way the book is always available for others. 3.2.10 82 Coupons redeemed: 1-National Library Week, 69-Friends, 7-Halloween, 1-Third of July, 4-membership. 3.3. Report from Chair Freeman – thanked the staff for the effort into the volunteer event. 3.4. Reports from Trustees 3.4.1 Trustee Martinez – asked how she can get a packet for Show Your Library Card and Save program. She has a business in mind. Jeanne Carter from the Nature Center sent her photos from the first ever preschool outdoor class visit; 20 preschoolers with their parents attended (this was during the holiday closure). Jeanne is trying to bring more awareness to the Nature Center. Library Board of Trustees Meeting 11/20/17 Page 2 (Trustee Reports, continued) 3.4.2 Trustee Hitchcock – attended the Ukulele program as usual, and when the leader (Peggy) called with car trouble, the group was able to get started until she arrived. They had 5-6 new people join that day, making about 30 in attendance. She also attended the program National Novel Writers Month and said it was an eye opening experience with 15 in attendance. The Mystery Book Club is planning a little farewell for Steve who is retiring in December. 3.4.3 Trustee vanVoorst – is enjoying volunteering at various Library programs and events. 4. Old Business 4.1. Treats in the Streets recap 4.1.1 There was an issue getting the weights that were to be supplied by Community Services; however, Fire was able to assist with that. Their location was moved, but the Board liked the change. 4.1.2 They barely had enough candy, even with the City provided 30 lbs. Chair Freeman would like extra candy purchased next year. Trustee vanVoorst stated the kids really like getting the Friends free book coupon. 4.1.3 The spinning wheels are getting worn and don’t work properly. 4.1.4 Trustee vanVoorst reported she and Trustee Hitchcock had some difficulty getting everything taken down and hauling back to the Library, but with the help of the Kiwanis volunteers, they were able to manage. She said the janitor made returning the items back into the Library very helpful and was great idea. 4.2. Library Tour Script – The script has been updated; and it was confirmed that all information is correct. 4.3. Alternative Education/Homeschooling Outreach – Vice Chair Collins spoke with the Orange County Community Home Education and they are interested in receiving a packet from the Library. Vice Chair Collins would like to see the Library do an outreach for homeschoolers and their parents. Chair Freeman asked Ms. Harpster if she could look into coordinating this, perhaps for the spring of 2018. Trustee Martinez said she will reach out to OUSD. 5. New Business 5.1.
