Monday, October 16, 2017; 3:30 p.m.
1. Call to Order / Pledge of Allegiance (3:30pm)
1.1. Roll Call
Present: Freeman, Collins, vanVoorst, Martinez, Hitchcock
Absent: none
1.2. Approval of Meeting Minutes dated September 18, 2017; addition to Item 3.2: Judy Long, Director of the
Bookstore for 7 years, is resigning from this position.

2. Library Director’s Report (Assistant Director Amy Harpster)
2.1. Library Updates
2.1.1 The Children’s & Teen Services Manager, Shannon Lane, was introduced to the Board.
2.1.2 This week is National Friends of the Library Week, and is being promoted at all 3 Libraries.
2.1.3 Security services are being increased at Main Library.
2.1.4 Literacy program is in year two and going very well.
2.1.5 El Modena will be getting a early literacy station, funded by the Rotary and Larry Tannas (through
the Foundation).
2.1.6 City Hall’s IT department was able to bump up the internet speed at City Hall and the Library to
100+mbps.
2.2. Financial Report – The Library is right on track.
3. Board Reports
3.1. Report from Chair Freeman
3.1.1 Chair Freeman, along with Vice Chair Collins and Trustees vanVoorst and Martinez, attended the
Unity Middle College High School ribbon cutting, in an effort to build a relationship.
3.1.2 Last Thursday Chair Freeman along with Trustee Martinez attended the Library Media Specialists
meeting at the Library. The Library Media Technicians will also be meeting at the Library.
3.1.3 The Children’s Manager is putting together a fundraiser at Barnes & Noble on December 8 from
9-2 and invited the Board to assist at the wrapping table.
3.2. Report from Orange Public Library Foundation Liaison (Trustee Martinez)
3.2.1 There was no meeting this month; however, Executive Director Linda Cundiff stated that she was
invited to submit for Edison’s STEAM for Teens grant.
3.3. Report from Friends of the Library Liaison (Trustee Hitchcock)
3.3.1 The October meeting was cancelled.
3.3.2 Free book coupons redeemed: 101, 56 from Friends, 45 from library card sign up month.
3.4. Reports from Trustees
3.4.1 Trustee Martinez emailed Cathleen Corella at the School District about training staff & the
Trustees on how to log into their student/parent portal.
4. Old Business
4.1. Treats in the Streets update (event Thursday 10/26 4-7pm)
4.1.1 The Board discussed logistics for working this event.
4.1.2 Everything will be ready for them to pick up by 2:00pm on 10/26 to walk down to their booth
location.
4.2. Back to School Nights
4.2.1 Assistant Director Amy Harpster asked the Board to provide any feedback to her on these events,
and from this and staff feedback, she learned that Back to School Nights are a challenge for staff
due to the hectic schedule of the parents having to go very quickly from one classroom to another.
Overall the high schools were less successful, the elementary schools were better attended. It was
a plus adding schools from the east end.

(4.2 Back to School Nights continued)
4.2.2 Trustee vanVoorst reported that the event at Panorama was not as successful as Santiago was. She
felt Santiago was easier to get information out to the parents. She also feels that Back to School
Nights may not be the best venue for the Library as the parents are rushing to make it to each
classroom.
4.2.3 Vice Chair Collins reported that she did one elementary school and one high school. She said that
she barely had any kids stop by at the elementary table and suggested they bring the spinning
wheel to draw kids to the table. For the high school event she suggests staff get there a half hour
early to catch the kids as they are coming in. Trustee Martinez suggested setting up the table
outside of the cafeteria before the event begins because the parents first go there for a meeting.
She also pointed out that children are not supposed to attend Back to School Nights.
4.2.4 Chair Freeman suggested that perhaps the Board should only focus on attending the elementary
school events.
4.3. Alternative Education/Homeschooling Outreach
4.3.1 Vice Chair Collins said she could get some contact info for homeschooling groups. She suggested
an outreach packet be put together to drop off with the various locations/groups.
4.3.2 Vice Chair Collins suggested the Library have a homeschool event/open house at the library and
invite all of the groups.
5. New Business
5.1. Library Tour Script
5.1.1 Staff put together a script for the Library Board to use when giving tour s. The information has
recently been updated. Chair Freeman asked the Board to review the updated script and provide
any feedback to Ms. Harpster.
