MINUTES
Monday, February 27, 2017; 3:30 p.m.
1. Call to Order / Pledge of Allegiance (3:30pm)
1.1. Roll Call
Present: Collins, Freeman, vanVoorst, Hitchcock, Martinez
Absent: none
1.2. Approval of Meeting Minutes dated January 16, 2017

2. Library Director’s Report
2.1. Monthly Report
2.1.1 Literacy office and lab is getting new furniture and supplies. A banner will be hung on
Chapman advertising the new program.
2.1.2 Recruitment for Literacy Coordinator closes today.
2.1.3 Budget meetings are underway and going well.
2.1.4 City Council has approved the Library enhancing its Internet connection at all library
locations. It may be up to a year before this is available.
2.1.5 Security Services are going well. Library is asking to increase patrols next fiscal year.
2.1.6 Changes to Teen Zone area – stacks have been moved to open up the area. The cabinets
and payment machines will be moved back about 8 feet. After that, the Teen Desk will
move up to where the Welcome Desk is. The Library will be getting new payment and self
check machines in the near future.
2.1.7 A new bike rack is getting installed on the Chapman side of the library. Bench moved to
the north side. Parking stall bike rack removed.
2.2. Financial Report – the Library is just past the half-way mark and right on track.
3. Board Reports
3.1. Report from Chair Collins – no report.
3.2. Report from Orange Public Library Foundation Liaison Chair Collins
3.2.1 The Gala details are going well. The event is set for 4/23/17 at Santiago Vineyard Estate.
The Board agreed to contribute items towards a basket for the silent auction.
3.2.2 The four little libraries have been installed and are getting used regularly.
3.3. Report from Friends of the Library Liaison Trustee Hitchcock
3.3.1 Friends would like to give free book coupons to the Literacy program.
3.3.2 During the holiday closure Friends sold 32 books online.
3.3.3 The next book sale is March 10 & 11.
3.3.4 66 free book coupons redeemed: 63 from Library/Friends, and 3 from Halloween.
3.4. Reports from Trustees
3.4.1 Trustee Martinez – stated that Ms. Cundiff (Foundation Executive Director) was working
on a script to use when giving tours of the library and that she & Vice Chair Freeman
would like to give tours. Chair Collins would like all Trustees to be trained on giving
tours.
3.4.2 Trustee Hitchcock - informed the Board she will not be at the next meeting.
3.4.3 Discussion ensued on logistics for open houses.
3.4.4 Vice Chair Freeman – remind the Board to turn in their 700 forms by 3/20/17 to the City
Clerk’s office. He also informed the Board that Serving with a Purpose workshop is
scheduled for May 4, and is at a new location, the Victoria Gardens Cultural Center in
Rancho Cucamonga.

5.1. Policy review: Lost & Found
Motion: Approve new policy as presented - Freeman

5.2 Gala Basket Ideas
Trustee Martinez suggested they keep the basket in line with the theme of the Gala, which
is Tradition & Innovation, as well as legacy. Baskets are due to Ms. Cundiff by the first
week of April. Further discussion to take place at next meeting.
