SUBJECT Third Amendment to Agreement for Custodial Services for All City Buildings. 2. SUMMARY The Public Works Maintenance Division currently has a contract (Agreement No. 5776) with Merchants Building Maintenance, LLC for the custodial services at all City buildings. The original term of the contract was one year, with the option to exercise contract renewals up to three additional years. The original contract was executed in Fiscal Year 2011 -2012, a first extension was executed in Fiscal Year 2012 -2013, and a second extension was executed in Fiscal Year 2013 -2014. Staff is recommending the third and final extension of the contract for Fiscal Year 2014 -2015. 3. RECOMMENDED ACTION Approve Third Amendment to the Agreement for the Custodial Services for all City buildings in the amount of $534,706.96.00 and authorize the Mayor and City Clerk to execute on behalf of the City. 4. FISCAL IMPACT With the adoption of FY 14 -15 budget, funds are budgeted and will be available in the following account: 100.5028.51422.00000 Janitorial Services $540,595.00 1 5. GENERAL PLAN IMPLEMENTAITON Natural Resources Goal 5.0 Provide recreational facilities and programs that adequately serve the needs of the residents. Policy 5.1: Maintain existing City parks at levels that provide maximum recreational benefit. 7. DISCUSSIONS and BACKGROUND The Public Works Maintenance Division manages the custodial services for all City buildings (City Hall, Park Buildings, Libraries, etc.). The City is currently under contract with Merchants Building Maintenance, LLC to provide these services based on the original agreement authored under the North Orange County Cooperation (NOCC) Request for Proposals. The original contract, Agreement No. 5776, includes three (3) one -year renewal options. The original contract was executed in Fiscal Year 2011 -2012, a first extension was executed in Fiscal Year 2012 -2013, and a second extension was executed in Fiscal Year 2013 -2014. Staff is recommending the approval of the third and final extension of the custodial services contract for Fiscal Year 2014 -2015 based on satisfactory performance and contract compliance of Merchants Building Maintenance over the past year. There is an increase in services for Fiscal Year 2014- 2015 resulting from the addition of custodial services being provided at the City owned Depot facility. There will be no CPI inflation adjustment for the upcoming extension of the contract. 8.
